We are currently seeking a Human Resources Assistant to join our HR team!
Essential Functions & Responsibilities:
- Initiate, track, and maintain Employee Status Change Checklists (ESCCs) by partnering closely with managers, support personnel, and relevant departments to ensure all required documentation and approvals are completed accurately and timely. Proactively follow up on outstanding items to support smooth employee transitions and maintain compliance with internal procedures.
- Maintain accurate, organized, and up-to-date human resources records across both the internal network and the HRIS system. Ensure employee files, documentation, and data entries are complete, current, and compliant with recordkeeping standards and confidentiality requirements.
- Support the HR Department with ad hoc projects and initiatives as needed, contributing to special assignments, process improvements, audits, reporting needs, and department-wide initiatives that enhance operational efficiency and employee experience.
- Provide comprehensive administrative and clerical support to the HR team, including invoice reconciliation and submission to Accounts Payable, assisting with onboarding and offboarding administrative processes, and safeguarding the integrity and confidentiality of HR files and records. Conduct periodic audits of personnel files to ensure all required documentation is properly collected, filed, and maintained in accordance with policy and compliance standards.
- Serve as backup front desk coverage during lunch periods and as needed to support time-off coverage, ensuring a professional and welcoming presence while maintaining continuity of operations.
Experience:
The ideal candidate will possess one to three years of relevant Human Resources experience and demonstrate the ability to collaborate effectively with employees and leadership at all organizational levels. This individual must exhibit a professional demeanor, strong judgment, and a high level of discretion when handling sensitive and confidential information. Success in this role requires exceptional attention to detail, reliability, punctuality, and flexibility. The environment can be fast-paced and demanding at times, requiring excellent organizational skills, effective time management, and the ability to multitask while maintaining accuracy and composure.
