Position Summary
Performs diverse coordinating and support duties for ASTR Director. Assists in designated administrative details using initiative and sound judgment. Requires knowledge of church policy and organizational structure, a high level of technical (well developed keyboard/computer, etc.) skills, high levels of tact, friendliness and other aspects of strongly developed interpersonal skills plus proven editorial and organizational skills.

Remuneration: Grade 6 ($25.18 - $35.93)

Essential Job Functions
- Serves as Editorial Coordinator for The Journal of Adventist Archives (1 per yr) and two other department publications during all phases of the production process, proofreading final page proofs and bluelines for accuracy monthly; processing all writer payments and handles all magazine billing, working with copy editor, completes and approval of final proof, deals with designer on picture/image selection, advertisements, and magazine design/flow, troubleshooting at all phases of process, communicating with designer and printer to grant final publication approval of entire magazine, processing and prompt payment of authors, translators, printers, etc.
- Provides clerical support to supervisor as needed - which may include, routine office duties such as: answering and routing telephone calls, correspondence, filing, copying, form letters, filling orders and preparing materials for archives, organizing and updating of office files, scheduling and maintenance of daily calendar of supervisor, preparing expense reports for supervisor.
- Maintains department websites/sub-sites and assists with developing and fact-checking content, creates hyperlinks, uploads content, and makes basic design changes as needed.
- Creates/posts items on ASTR’s social media platforms in compliance with established protocols (includes fact-checking of pictures and other content before posting, etc.).
- Assists supervisor with the preparation of budget requests for ASTR cost centers.
- Monitors ASTR cost center budgets and ensures expenses are within established guidelines – which may include, conversations with staff to identify reasons for charges, accuracy of charges to accounts, and identifying if they were within established protocols and guidelines and preparing analysis/report and or recommendations for supervisor.
- Assists supervisor in the strategic planning process for ASTR
- Assists supervisor in preparation of various committee agendas/reports and serves as recording secretary for ASTR Committee, other committees and working groups.
- Processes all routine purchase order requests, language translation requests, and purchase orders.
- Leads in planning the ASTR Booth design and setup for different conferences and events each year - coordinating the conference registration, staffing, shipping process, and purchasing of supplies and giveaways.
- Responds to questions when supervisor is gone or in meetings.
- Assists supervisor in preparing reports, special projects, as requested.
- Must be a member in regular standing of the Seventh-day Adventist Church.
- Must maintain a regular and reliable attendance schedule.
- Other duties as assigned.
Qualifications
Education and Experience
- Bachelor’s (BA/BS) degree required, in a related field strongly preferred. Appropriate successful work experience may be acceptable in lieu of scholastic requirements.
- A minimum of four years of relevant, progressive work experience are needed to gain the skills and knowledge required to perform job duties.
Knowledge Skills & Abilities
- Well-developed knowledge of principles, policies and beliefs of the General Conference and the Seventh-day Adventist Church.
- Accurate English language usage including proficiency in spelling, grammar, punctuation, etc., and writing and proofreading skills are essential.
- Computer skills in MS Word, Excel, PowerPoint, Access and Outlook are essential; editorial aptitude, writing skills, efficiency in general office duties also required.
- Ability to perform support duties with speed and accuracy without constant supervision. Must have the ability to work under pressure and with many interruptions.
- Position requires keyboard speed with accuracy.
- Individual must exhibit ability to effectively handle confidential information/situations at all times and maintain high degree of loyalty and support for supervisor, department, General Conference and Seventh-day Adventist Church.
- Must be able to engage in concentrated activities for long periods of time.
