ROLE AND RESPONSIBILITIES
The Firm Support Specialist I role is responsible for providing weekly in-office assistance to employees and partners by supporting a variety of administrative and operational tasks. This highly detail-oriented position requires strong adherence to quality control standards and the ability to work effectively in a full-time, in-office environment to ensure timely support and seamless day-to-day operations. The essential duties and responsibilities include, but are not limited to, the items listed below. Other duties may be assigned as necessary.
- Provide support for Partners and Managing Directors to manage calendars, schedule meetings, travel logistics (booking flights, accommodations and transportation) and handle correspondence.
- Oversee day-to-day office operations such as maintaining office supplies, equipment and facilities.
- Handle all aspects of incoming and outgoing mail and packages.
- Help keep break rooms presentable by making coffee, restocking coffee supplies and loading/unloading dishwashers, as well as other tasks, as needed.
- Handle incoming phone calls for multiple offices and related switchboard tasks with lasting, positive impression of the Firm.
- Greet guests with lasting, positive impressions of the Firm.
- Perform all aspects of facilities support.
- Ensure a clean, organized and efficient office environment.
- Assist with planning and execution of local events, meetings, and/or conferences.
- Serve as a central point of contact for internal and external inquiries and routing them to the appropriate individuals.
- When needed, finalizing documents in an electronic format such as pdf document or word document and proper filing/organization of those documents.
- When needed, print documentation and bind for client delivery.
- Complete special projects as assigned.
MINIMUM QUALIFICATIONS
- High school diploma or equivalent
- Proficient in Microsoft Office Suite
PREFERRED QUALIFICATIONS
- Associate's Degree
- 1+ year of related administrative experience
