General Summary of Position:
This being a promotional opportunity, only current UML Employees with the same Bargaining unit are eligible to apply for this position.
This position provides senior administrative support as needed to the Facilities Service Center. Primary duties include managing responses to and ensuring personal response to all incoming calls and visitors related to facility emergencies, maintenance requests and routine inquiries, may assist with the oversight of employee programs (such as uniforms and cell phones, and procurement/administrative support) as needed to the Facilities Management Department. Miscellaneous office support includes the utility payment process, workorder system review, updates and reporting. Position serves as the primary coordinator of all tasks assigned to the Service Center Team to ensure uninterrupted workflow throughout the team. Typically the designee of the Service Center Manager in their absence.
Minimum Qualifications (Required):
- Associates degree with 5 years of related business experience.
- Will consider candidates with at least two years of college and 5 years of related business experience or HS diploma or GED/equivalent and 10 years of directly related experience.
In addition, candidates must have:
- Three years or more experience responding daily to high call volume of an urgent nature and providing appropriate guidance and customer service or similar related work
- Experience in Facilities Management or other related department
- Experience with a facilities workorder/service request system
- Excellent verbal communication skills with experience demonstrating a calm and assertive phone presence with stakeholders
- Strong organizational skills, including the ability to coordinate multiple tasks simultaneously and work independently with short deadlines.
- Proven ability to understand and follow complex oral and written instructions.
- Ability to maintain confidentiality and mentor this across the team.
- Demonstrated competency in Microsoft Suite including proficient in Microsoft Excel and has the ability to resolve technical challenges
Preferred Qualifications:
- Bachelors Degree in a related field
- Experience using People Soft or Kronos
- 3 years experience in logistics, customer service, accounting or similar business operations work

This is a SEIU 888 Professional Union position, Grade P16. Anticipate salary based on experience/qualifications within the range. Minimum: $59,674 25th quartile: $67,879 and midpoint of $76,085.
