About Your Role:
The Administrative Assistant provides daily support to the Distribution Center leadership team by managing administrative tasks, coordinating communication, maintaining accurate records, and ensuring smooth operational workflow. This role is central to keeping the DC organized, informed, and running efficiently. The ideal candidate is detail-oriented, tech-savvy, dependable, and comfortable working in a fast-paced environment. Your day-to-day job duties include, but are not limited to, the following:
Administrative & Office Support
- Manage calendars, schedule meetings, coordinate travel, and support day-to-day planning for DC leadership.
- Prepare reports, memos, meeting minutes, and correspondence with a high degree of accuracy.
- Maintain organized filing systems (digital and physical) and ensure key documents are up-to-date.
- Serve as the first point of contact for internal and external inquiries.
Finance & Reporting
- Process accounts payable invoices, expense reports, and purchasing requests.
- Assist with tracking budget items, POs, vendor payments, and cost-related documentation.
- Maintain daily/weekly reporting such as DPR, headcount, and productivity-related admin tasks.
- Support data entry or verification for labor, timeclock, staffing, and other operational records.
Human Resources & Staffing Support
- Assist with onboarding coordination: scheduling orientation, preparing packets, updating rosters.
- Support HR with document collection, attendance tracking, and communication to associates.
- Maintain confidentiality of personnel files and sensitive information.
Operational Coordination
- Track and follow up on action items from leadership, safety, and operational meetings.
- Assist with scheduling and communication related to training, audits, and compliance.
- Help coordinate events such as associate recognition, leadership meetings, or visits.
- Work closely with managers to ensure timely distribution of announcements and updates.
Systems & Technology
- Use Microsoft Office (Excel, Outlook, Word, Teams) daily.
- Update spreadsheets, dashboards, or logs with accurate data.
- Navigate internal systems for AP, purchasing, reporting, and time/labor as needed.
- Maintain proficiency in DC systems and tools; support others with basic technical questions.
Your Required Skills and Experience:
- 2+ years of administrative or office support experience (DC or operations environment preferred).
- Strong proficiency in Excel, Outlook, and general computer skills.
- Excellent communication and organizational skills.
- Ability to manage multiple priorities and meet deadlines.
- High attention to detail and accuracy.
- Ability to handle confidential information with professionalism and discretion.
