Job Summary
The Client Service Associate (CSA) has responsibility for supporting Lead Institutional Advisors Regional Consultants and Consultants while managing an assigned book of institutional relationships. Provides high‑level client service and administrative support, maintains deep knowledge of institutional products and services, and partners across teams to resolve client issues. Experienced in ERISA, compliance, reporting, trust and custody, investment management, and nonprofit services, with a strong focus on client satisfaction, relationship retention, and process improvement.
ESSENTIAL JOB FUNCTIONS
- Partner closely with a Lead Institutional Advisor/Regional Consultant/Consultant to service and oversee an assigned portfolio of institutional accounts, ensuring timely and accurate execution of client‑directed trades, transactions, and required financial reporting.
- Demonstrate strong working knowledge of institutional trust and custody client needs, IA product offerings, and operational processes, including account onboarding, asset collection, alternative assets, pension payment systems, and client and file system maintenance.
- Process daily cash transactions, including wire transfers, check preparation, cash movements, deposits, and the timely forwarding of client trading requests.
- Review and manage daily cash reports; prepare reports, correspondence, technical documentation, and support special projects as requested.
- Build and maintain effective relationships with clients and external service providers, including consultants, third‑party administrators, accountants, auditors, and outside RIAs.
- Read, interpret, and apply institutional trust and custody agreements and related documentation for administrative and fiduciary purposes.
- Mitigate risk by servicing assigned institutional relationships in compliance with KeyBank policies and procedures, as well as applicable regulatory and legal requirements.
- Demonstrate a strong client‑focused mindset and collaborative approach, leading by example in teamwork and service excellence for both clients and internal partners.
- Support clients with required reporting to government agencies, including the Department of Labor (DOL), Pension Benefit Guaranty Corporation (PBGC), and Internal Revenue Service (IRS).
- Identify process improvement opportunities in partnership with internal support teams, investment management, and other business units, and proactively recommend operational or investment solutions to IA clients.
- Provide backup support for other Client Associates and assigned Relationship Managers as needed.
REQUIRED QUALIFICATIONS
- Undergraduate degree in business-related field
- A minimum of 3 years’ industry experience working with corporate, non-profit, foundations, endowments, public fund and/or Taft Hartley clients in administrative capacity or other client service roles.
- Demonstrated strong client service skills.
- Securities processing and bank operations knowledge.
- Excellent analytical, communication (oral and written), interpersonal and problem resolution skills.
- Strong PC skills, especially Excel, Word, Power Kofax PDF and PowerPoint.
PREFERRED QUALIFICATIONS
- Competence with trust/custody, pension, non-profit, alternative assets, general banking, operating fund, and charitable planning needs.
- Client consultation/advocate background.
- Securities processing and bank operations knowledge.

COMPENSATION AND BENEFITS
This position is eligible to earn a base hourly rate in the range of $25.00 - $38.46 per hour. Placement within the pay range may differ based upon various factors, including but not limited to skills, experience and geographic location. Compensation for this role also includes incentive compensation which may include production, commission, and/or discretionary incentives.
