Monday to Thursday, work onsite with your colleagues. Fridays, choose your work location, balancing what your work requires.
Summary
This role supports project execution by handling costing, billing, documentation, scheduling updates, and general administrative tasks from project initiation through closeout. The position works closely with the Area Service Manager and Service Fulfillment team to ensure timely and accurate project fulfillment.
Major Duties and Responsibilities
- Manage costing and billing from the first financial agreement through final payment.
- Issue and reconcile purchase orders.
- Process documents related to service claims, sales allowances, retrofit work, and labor warranty.
- Assist in initiating and tracking contract projects to ensure compliance and on‑time completion.
- Communicate with team members, vendors, and customers regarding project status and shipping updates.
- Obtain and update Trane and vendor ship dates.
- Forward warranty documents and manage receipt of IOMs.
- Support distribution and receipt of submittals.
- Perform general administrative duties to support the fulfillment process.
- Enter orders as required.
- Train other team members on Project Administrator responsibilities.
- Perform other duties as assigned.
- Flexibility to work overtime when needed.
Skills and Qualifications
- Proficient in Microsoft Office and comfortable navigating multiple computer applications.
- Strong verbal and written communication skills; able to present information clearly and respond to questions.
- Ability to read and interpret business publications, technical procedures, regulations, and similar materials.
- Strong reasoning skills, including the ability to define problems, collect and analyze data, and draw valid conclusions.
- Ability to interpret technical instructions in mathematical or diagram form and manage both abstract and concrete variables.

$50,350.00 - $70,770.00
