INTRODUCTION
Propersys Corporation is seeking a detail-oriented project administrator to coordinate project activities, including simple tasks and complex plans for our Gas Monitoring Systems (GMS) team. As a project administrator, you will manage schedules, arrange assignments, and communicate progress to all team members. Organized, experienced candidates with strong interpersonal skills are encouraged to apply.
ROLE AND RESPONSIBILITIES
Project administrator responsibilities include preparing action plans, analyzing risks and opportunities, and gathering necessary resources. For this role, you will work with a team of project managers and project leads, so good communication and collaboration skills are essential.
- Assist project manager in all administration functions and processes
- Schedule regular meetings and record meeting minutes
- Break projects into doable tasks and set timeframes and goals
- Manage project-related paperwork by ensuring all necessary materials are current, properly filed, and stored
- Direct project correspondences by preparing and reviewing project proposals, memos, meeting minutes, and emails
- Organize contracts, financial files, reports, and invoices, and perform administrative duties such as ordering supplies, bookkeeping, and billing
- Prepare and provide documentation to internal teams and key stakeholders
- Place orders for office resources, equipment, and software
- Use the ERP system to process company purchase requests
BASIC QUALIFICATIONS
Required Education and Experience:
- Bachelor’s degree or relevant experience in business or related field.
Required Skills:
- Solid organization and time-management skills
- Strong written, verbal, and presentation skills
- Bilingual in Mandarin and English
PREFERRED QUALIFICATIONS
Preferred Skills:
- Work experience as a Project Administrator, Project Coordinator, or similar role
- Hands-on experience with flowcharts, technical documentation, and schedules
