The Office of the President is accepting applications for a Receptionist to provide primary clerical and administrative support for the Biemesderfer Executive Center (BEC).

Duties and Responsibilities
Answering Phones: Using established guidelines and protocol, assume primary responsibility for promptly answering the phone lines and recording complete and accurate messages, employing a responsive customer service attitude in screening calls, and interacting with callers to determine how and by whom the call should be handled.
- Obtain all pertinent information related to the request to meet with or speak to the President.
BEC Building Mail:
- Using pre-established guidelines, assume primary responsibility for the handling of all incoming mail.
- Working with other staff members and/or student assistants, attend to or delegate duties including opening, date stamping, sorting, and final disposition of all incoming correspondence.
- Recommend appropriate procedures to be used in the established mail distribution process and recommend actions to be taken by the President and staff on individual mail items.
- Determine, often independently, which items are urgent and require the President’s immediate attention versus items to be processed through established processes. Requires good organizational and analytical skills, attention to detail, and high degree of confidentiality.
Customer Service Inquiries:
- Document all customer service inquiries via email—whether received via phone or in person—and forward a copy to the President (MU President email account) and the appropriate Vice President. The email should include a summary of the concern along with any supporting documentation for the President’s review.
- Follow up with the respective Vice Presidents as needed to request updates on outstanding complaints.
- Requires high degree of confidentiality and good communication skills to work with a variety of people both internal and external to the University and in-depth knowledge of the software in use.
BEC Building Maintenance:
- Maintain the overall upkeep of the Biemesderfer Executive Center (BEC), including submitting and tracking work orders and supporting general facility needs to ensure smooth daily operations.
Special Events:
- Assist the President’s Office staff with logistical and clerical support for campus-wide programs and events.
Correspondence:
- Assist with drafting routine correspondence as needed, including thank-you notes, acknowledgments, and other brief communications.
- Ensure accuracy in names, titles, and grammar. Requires a high degree of confidentiality and excellent grammar, spelling, punctuation, and research skills, as well as an in-depth knowledge of the software in use.
Office Supplies/Copier/Printers/Fax:
- Order office supplies using pre-established guidelines as needed, monitor upkeep of copier to ensure it functions properly. Contact IT if there are any issues with the printer.
- Other duties as assigned.
Required Qualifications
- 6 months as a clerical assistant 1 OR graduation from high school OR any equivalent combination of experience and training.
- Excellent customer service skills.
- A high degree of integrity and adherence to confidentiality.
- Excellent organizational skills.
- Comfort with dynamic, fast-paced work environments; a sense of urgency and attention to deadlines and details.
- Flexibility, willingness, and ability to pursue and adopt new ideas, information and technology, and process and summarize information.
- Evidence of independent judgement, personal responsibility, and anticipatory thinking.
- Demonstrated ability to:
- solve problems.
- communicate effectively.
- maintain a professional demeanor in executive work environment.
