INTRODUCTION
Mesa is hiring a Project Administrator to keep our power delivery engineering office running smoothly and to support our project managers, engineers, and clients behind the scenes. You’ll handle document control for engineering deliverables, coordinate project logistics, keep the local office well-supplied, and be the on-the-ground organizer for periodic team events. It’s a hands-on, multi-threaded role with broad exposure to how a substation engineering practice operates day to day.
ROLE AND RESPONSIBILITIES
- Keep the engineering and design office well-stocked and organized – manage inventory and order supplies, working closely with our corporate facility and IT teams to keep essentials moving.
- Support project managers with task coordination, scheduling, and meeting logistics – sit in on project meetings, capture action items, and keep minutes current.
- Manage and organize project documentation with care – version control, timely distribution of drawings and design data, and engineering submittals to clients.
- Partner with our senior document controller to improve how we manage engineering deliverables, surfacing opportunities to make the system faster and more accurate.
- Help PMs and team leads prepare client presentations and periodic reporting – plot full-size drawings and ship FedEx packages to clients as needed.
- Be the local point of contact for periodic social events – most are corporate-initiated, but they need a hands-on organizer here to make them happen.
- Spot cost-saving opportunities for the office and bring them forward.
BASIC QUALIFICATIONS
What We're Looking For
- Proven experience in office administration, ideally in an engineering, architectural, or technical professional services environment.
- Exceptional organizational skills with a sharp eye for detail.
- Strong written and verbal communication – comfortable interfacing with engineers, project managers, and clients.
- Comfortable juggling parallel priorities – documentation, supplies, project coordination, events – without dropping threads.
- Proficient with Microsoft Office (Word, Excel, Outlook); exposure to document management systems for engineering deliverables is a plus.
- Located in the Knoxville or Chattanooga area, with availability to work three days per week (Tuesday–Thursday) in the local office to align with the engineering and management team’s hybrid schedule.
