JOB DESCRIPTION
Executive Assistant
The Executive Assistant provides high-level administrative and business support to members of the Executive Team. This role requires exceptional discretion, proactive problem-solving, and the ability to manage complex schedules, communications, and logistics in a fast-paced, global business environment. The Executive Assistant serves as a trusted partner to executive leadership and plays a key role in ensuring efficiency, organization, and effective coordination across the organization.
Key Responsibilities
- Organize, manage, and maintain complex administrative processes in support of the Executive Team
- Provide advanced administrative and business support, proactively anticipating executive needs and priorities
- Manage complex executive calendars, including scheduling high-level meetings across multiple time zones
- Coordinate domestic and international travel arrangements, including detailed itineraries, accommodations, and logistics
- Track and prioritize key initiatives, ensuring deadlines, follow-ups, and deliverables are met
- Coordinate and integrate both internal and external Executive Team activities
- Prepare, edit, and proofread correspondence, communications, presentations, agendas, reports, and other executive-level documents
- Monitor, prioritize, respond to, and distribute incoming phone, email, and electronic communications with professionalism and discretion
- Handle sensitive and confidential information with the highest level of integrity, discretion, and professionalism
- Serve as a primary point of contact between executives, internal teams, field leadership, and external stakeholders
- Communicate with executive, administrative, and line management to gather, convey, and clarify information related to executive responsibilities
- Coordinate with external firms, organizations, and partners as needed for alignment and support
- Work closely with events teams and international markets to plan executive attendance, participation, and logistics for corporate events
- Assist with special projects and cross-functional initiatives as assigned
- Flexibility to support business needs outside standard working hours as required
- Willingness to travel to corporate and leadership events as needed
QUALIFICATIONS
- Bachelor’s degree preferred
- Minimum of 3+ years of experience providing administrative or executive-level support
- Advanced proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Knowledge of the direct sales industry and marketing experience desirable
- Ability to anticipate executive needs and act with minimal direction
- Strong written and verbal communication skills
- High level of discretion, integrity, and professionalism
- Exceptional organizational, time management, and multitasking abilities
- Strong problem-solving capabilities with sound judgment and decision-making skills
- High level of attention to detail, accuracy, and follow-through
- Ability to remain flexible, adaptable, and composed in a fast-paced, evolving business environment
