The financial industry is growing at a record pace, but our data providers are still stuck in the past — with cumbersome onboarding processes, complicated APIs, slow infrastructure, and expensive licensing costs.
Databento is the next generation market data provider — with the radical idea that you should only pay for the data that you use. We power the world's largest finance and fintech institutions and lower the barrier of entry for small startups, gaining over 4,000 users during our first year of launch. Our team brings former experience at the world's leading quantitative firms, including Two Sigma, Flow Traders, Tower Research, PDT Partners, SIG, and more.
We're looking for an Executive/Personal Assistant to support our CTO, with occasional backup support for our Founder and CEO. The individual must be based in Salt Lake City for local tasks, however occasional remote or hybrid work arrangements may be possible. You'll have an outsized impact on the company's day-to-day operations and help keep our leadership running at full speed.
Responsibilities
You'll provide high-leverage administrative and operational support to our executive team. This includes the following:
- Handle personal and professional errands, vendor coordination, and quality-of-life tasks that allow CTO to stay focused on high-priority work
- Coordinate travel arrangements — flights, hotels, ground transportation, and itineraries — for both executives and occasional team travel, including larger offsites
- Own calendar management, including scheduling internal meetings, external calls, and resolving conflicts across time zones
- Process, sort, and manage physical and digital mail; flag action items and ensure timely responses
- Maintain and organize files, correspondence, and records on behalf of both executives
- Serve as the point of contact for office logistics, including supply management and any SLC-based operational needs
- Prepare expense reports, track reimbursements, and liaise with our finance function as needed
- Identify opportunities to streamline workflows and proactively implement quality-of-life improvements for leadership
- Handle sensitive and confidential information with the utmost discretion at all times
Requirements
- Based in Salt Lake City, UT
- College degree or a minimum of three years of professional experience
- Proven experience as an executive assistant, personal assistant, a similar administrative support role, or any service-oriented position
- Exceptional organizational skills and the ability to manage multiple priorities simultaneously without dropping the ball
- Strong written and verbal communication skills; able to represent leadership professionally in correspondence
- High degree of discretion and judgment when handling confidential or sensitive information
- Proactive problem-solver who anticipates needs and takes initiative without being asked
- Comfortable operating in a fast-moving startup environment where priorities can shift quickly
- Proficiency with standard productivity tools (Google Workspace, Slack, calendar software, etc.)
- A valid driver's license with a clean driving record to support local travel
Nice to Have
- Familiarity with financial services, fintech, or tech companies
- Experience booking complex, multi-leg international travel itineraries
- Experience with expense management tools (e.g., Brex, Ramp, or similar)

Which companies sponsor visas for personal assistants in Utah?
Large employers in Utah with established immigration programs are the most consistent sponsors for personal assistant roles. Organizations like Intermountain Health, Goldman Sachs (which has a significant Salt Lake City presence), and major tech firms headquartered along the Wasatch Front have sponsored administrative and executive support staff in the past. Smaller private employers and family offices also sponsor occasionally, though their processes tend to be less formalized.
Which visa types are most common for personal assistant roles in Utah?
The H-1B visa is the most commonly pursued route, but it requires the personal assistant role to qualify as a specialty occupation, meaning a specific bachelor's degree must be a standard requirement for the position. Roles framed around executive operations, project coordination, or specialized administrative functions tied to a degree field are more likely to meet that threshold. The TN visa is available to Canadian and Mexican nationals for qualifying management or administrative roles.
Which cities in Utah have the most personal assistant sponsorship jobs?
Salt Lake City accounts for the majority of personal assistant sponsorship opportunities in Utah, driven by its concentration of corporate offices, financial services firms, and large healthcare systems. Provo and Orem, home to a growing tech and startup community, are secondary hubs. Ogden sees more limited activity, primarily through manufacturing and logistics companies that occasionally support administrative staff sponsorship.
How to find personal assistant visa sponsorship jobs in Utah?
Migrate Mate is the most direct way to find personal assistant roles in Utah where employers are open to visa sponsorship. Filtering specifically for personal assistant and executive assistant positions in Salt Lake City or Provo surfaces roles from employers who have sponsored before. Because sponsorship for support staff roles is competitive, focusing your search on larger corporations and established healthcare or tech organizations in Utah increases your chances significantly.
Are there any Utah-specific considerations for personal assistants seeking visa sponsorship?
Utah's Department of Labor prevailing wage standards apply to H-1B visa petitions, so employers must document that the offered compensation meets the required wage level for the Salt Lake City or Provo metro area. Utah's strong ties to The Church of Jesus Christ of Latter-day Saints also means a notable number of private household and organizational assistant roles exist, though private household employment generally does not support H-1B sponsorship.
What is the prevailing wage for sponsored personal assistant jobs in Utah?
U.S. employers sponsoring a visa must pay at least the prevailing wage, which is what workers in the same role, area, and experience level typically earn. The Department of Labor sets this rate to make sure companies aren't hiring foreign workers simply because they'd accept lower pay than a U.S. worker. It varies by job title, location, and experience. You can look up current prevailing wage rates for any occupation and location using the OFLC Wage Search page.
