Position Summary
Avid Systems is seeking an organized and dependable Accounting & Operations Assistant to provide remote support for the company’s accounting and business operations. This position will help track orders associated with Avid’s value-added reseller operations, support accounts payable activities, monitor employee and contractor timesheet submissions, and maintain accurate operational and financial records. The ideal candidate is detail-oriented, responsive, comfortable following up with employees and vendors, and able to independently manage recurring administrative responsibilities in a remote environment.
Key Responsibilities:
VAR Order Tracking
- Track customer and vendor orders from submission through fulfillment.
- Maintain accurate records of purchase orders, invoices, product details, shipping information, and order status.
- Follow up with vendors, distributors, and internal team members regarding outstanding orders.
- Identify missing information, order delays, and discrepancies and escalate them when appropriate.
- Update internal order-tracking reports and systems.
- Help ensure that supporting documentation is complete and properly organized.
Accounts Payable Support
- Receive, review, and organize vendor invoices.
- Confirm that invoices have the necessary purchase orders, approvals, and supporting documentation.
- Enter invoice and payment information into the company’s accounting or financial systems.
- Route invoices to the appropriate individuals for approval.
- Monitor invoice approval and payment status.
- Follow up with internal approvers regarding outstanding invoices.
- Respond to routine vendor inquiries regarding invoice and payment status.
- Maintain organized and accurate accounts payable records.
Timesheet Administration
- Monitor employee and contractor timesheet submissions.
- Send reminders regarding upcoming and overdue timesheets.
- Follow up on missing, incomplete, or inaccurate timesheets.
- Review timesheets for basic completeness and accuracy.
- Coordinate with employees, contractors, managers, payroll, and accounting personnel to resolve discrepancies.
- Maintain organized timesheet records and reports.
Background Check Records and Compliance Documentation
- Maintain accurate and confidential records related to employee and contractor background checks.
- Track background check status, completion dates, required renewals, and outstanding documentation.
- Follow up with employees, contractors, vendors, and internal stakeholders regarding missing or incomplete compliance materials.
- Organize authorization forms, screening confirmations, certifications, and related supporting records.
- Ensure background check and compliance documentation is stored securely and is readily available for internal reviews, customer requests, or audits.
- Maintain tracking spreadsheets or systems used to monitor compliance requirements and expiration dates.
- Protect sensitive personal information and follow company privacy, security, and records-retention procedures.
- Escalate overdue, incomplete, or potentially noncompliant records to the appropriate manager.
General Operations Support
- Maintain accurate electronic files and operational records.
- Prepare basic spreadsheets, reports, and status updates.
- Assist with invoice, vendor, purchase-order, and timesheet reconciliation.
- Help document and improve recurring administrative processes.
- Provide general administrative and operational support to company leadership.
Required Qualifications
- High school diploma or equivalent; associate’s or bachelor’s degree preferred.
- At least one year of experience in administration, accounting support, order processing, bookkeeping, or a related area preferred.
- Strong organizational skills and attention to detail.
- Ability to manage recurring deadlines and consistently follow up on outstanding items.
- Professional written and verbal communication skills.
- Proficiency with Microsoft Outlook, Excel, Word, and Teams.
- Ability to work independently in a remote environment.
- Ability to handle financial, employee, and company information confidentially.
- Reliable internet connection and an appropriate remote workspace.
Preferred Qualifications
- Experience supporting accounts payable activities.
- Experience tracking purchase orders, vendor orders, shipments, or product fulfillment.
- Familiarity with QuickBooks, Microsoft Dynamics 365, or another accounting or ERP platform.
- Experience working with employee or contractor timesheets.
- Experience working for a technology company, consulting firm, government contractor, or value-added reseller.
Work Arrangement
This is a fully remote position available to candidates residing in approved U.S. states. The selected candidate must be available during Avid Systems’ established Eastern Time business hours.
Compensation
The anticipated salary range for this position is $40,000–$46,000 annually, depending on qualifications and relevant experience.
