This position description identifies the major responsibilities of this job. It does not include all aspects of the position such as the potential additional duties assigned by supervisors and the requirement for flexibility in helping others for the company's overall benefit.
Position Summary
The Logistics Coordinator is responsible for acting as a liaison between the project team, equipment suppliers, and customers. On the logistics side, this position coordinates, quotes, invoices, and plans the shipping of all equipment to and from customers. On the administration side, this position generates order confirmations and updates project documentation.
In addition, you will assist with some Project Administration duties. Project Administration will account for approximately 10% of the position responsibilities.
This position is part of the Project Management Department, reporting to the Managing Director and works closely with project managers, customers, and the finance team.
The position is hourly with eligibility for overtime. Standard schedule is 5 days/week – 8 hrs. each day (8AM-5PM CST).
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Logistics Coordinator:
- Check/Track unpaid shipping invoices and send out weekly emails to accounting & MD
- Update shipment costs on Vendor PO & cost tracking excel document when actual costs are shared by the vendor
- Delivery information confirmation sent to the customer 1 month prior to FAT – confirming delivery address, contact, receiving hours, or additional special requests that may be needed to achieve ultimate delivery
- Track FAT changes by asking Project Manager’s when an FAT is approaching
- ISF documentation provided to the selected freight forwarder
- Freight quote requests sent to freight forwarder
- Freight quotes and vessel options sent to customer for approval
- Potential tariff costs shared with the customer
- Vessel requests back to the forwarder after customer selection
- Filing PO’s, Delivery Info Confirmation Emails, Freight Quotes, and Approvals from customer in job folders on PNA server
- All sample shipments organized – pick-up & delivery
- Label samples when ready to ship
- Create Commercial Invoices and Packing Lists for sample shipments to factories & project shipments to Canada & Mexico for customer performed clearance
- Provide sales team with shipping quotes for Pattyn factory & 3rd party vendor equipment before a project sells
- Filing all shipment documentation on the server to the corresponding project folder
- Tracking all shipments, updating customers on status and changes to provided dates
- Send packing list to customers after a vessel sails
- Maintain vendor list of quality carriers & forwarders
- Attend weekly production planning meeting to gain clarity on project progress and status updates related to outbound shipments
Project administration:
- Maintain project cost tracking excel file with any cost information related to freight, parts, & vendor freight costs once actual costs are known
- Maintain job folder organization for open projects, request anything missing from the respective project manager
- Creating & maintain job cost estimate, PO’s & Invoices for all shipment costs in Quickbooks.
- Work closely with accounting throughout the life of the project to make sure costs are accurate and updated.
- Filing Purchase Orders, & Invoices on the server
POSITION REQUIREMENTS:
- Education: High school diploma or equivalent required; additional technical or administrative training preferred.
- Technical Skills:
- Proficiency in Microsoft Office (Outlook, Excel, Word, OneNote, PowerPoint) and Intuit Quickbooks.
- Language: English
