The Medical Records Coordinator will perform a wide variety of tasks in the Medical Records Management Department, ensuring that the Department runs smoothly at all times. The Coordinator will follow company guidelines ensuring the optimum filing and storage of confidential patient information; scanning of medical documents; adherence to regulations and retention schedules; and managing the destruction of medical records after their retention period. The Medical Records Department is central to the efficient operation of the company, and its ability to successfully manage its growing patient base. This position requires a highly motivated individual who is very detail oriented.

Responsibilities

The essential duties of this role include, but are not limited to the following:

· Ensure that all patient charts are complete and filed correctly;

· Process missed visits;

· Manage large amounts of information successfully, adhering to company policies associated with record establishment, retention, maintenance and confidentiality;

· Work on the conversion of bulky physical copies and diverse electronic files into digital medical records for convenient storage, protection and accessibility;

· Serve as the point of contact for patients and staff requesting access to medical records/timesheets;

· Ensure sensitive materials are securely shredded after their retention period;

· Communicate effectively across departments to support essential company activities; and

· Learn and utilize technology (home care software, scanners, phone systems, email programs, word processing programs and spreadsheets) made available by the company to increase efficiency, communication and performance of duties.

Skills and Attributes

• One year experience in medical record keeping (an advantage);
• Bilingual in English and Spanish (an advantage);
• Associates degree in the human services field or medical records certificate (an advantage);
• Attention to detail to ensure patient records are complete and accurate;
• Excellent organizational skills;
• Knowledge of Microsoft Office applications (Microsoft Word, Outlook and Excel);
• Must be a team player willing to accept and promote organizational goals;
• Must be able to multi-task and communicate effectively with staff and patients; and
• Must demonstrate initiative and have the ability to function independently.

Reporting

The Medical Records Coordinator will report to the Medical Records Manager. The Medical Records Management Department meets with Management once a week and communicates all issues to Management as they arise. The Medical Records Coordinator will be evaluated on an on-going basis.

Pay: $17.00 - $22.00 per hour
