About the Opportunity
We’re looking for a dynamic Transactions Administrative Assistant to join our team who will provide essential administrative and coordination support to the Transactions legal team, including attorneys and paralegals. This role plays a key part in helping transactional matters move smoothly by organizing documentation, tracking updates, coordinating with internal and external partners, and ensuring information is accurate and accessible. In this role, you will help keep the Transactions team organized, learn new processes quickly, handle confidential information responsibly, and work closely with others in a busy team environment. What You’ll Do
- Provide day-to-day administrative support to the Transactions legal team, including attorneys and paralegals.
- Coordinate with internal teams and external partners to help complete transactional documents, applications, and renewals.
- Collect, organize, file, and maintain transactional documents, applications, and renewal materials to ensure information is accurate, accessible, and well-tracked.
- Track and document transactional updates, provide timely status reports to leadership, and communicate urgent issues as they arise.
- Serve as a helpful internal resource for questions related to transactional matters.
- Support the Transactions team with a variety of tasks such as mailing, shipping, meeting coordination, filing, and other administrative needs.
- Work closely with internal and external partners to support collaboration and identify opportunities to improve processes.
- Support additional tasks and special ad hoc projects as assigned.
What We Require You Bring
- Minimum 2 years of relevant work experience in an administrative position or paralegal support.
- Bachelor’s degree required.
- Legal or transaction administration experience highly desired.
- Excellent computer skills and proficiency in Adobe, DocuSign and Microsoft office software: Word, Excel, PowerPoint and Outlook.
- Willingness and ability to learn new concepts, understand complex information, and follow detailed instructions.
- Sound judgment and discretion when handling confidential information, along with strong communication and interpersonal skills.
- Ability to organize, prioritize, and coordinate multiple assignments simultaneously.
- Ability to work effectively both independently and collaboratively in a team-oriented environment.
- Willing and able to work beyond normal working hours as necessary.
