SUMMARY
Process daily lockbox receipts and direct deposit payments. Batch receipts according to appropriate insurance teams, prepare a computerized batch summary and forward them to the Posting team. Monitor and prioritize daily workflow.
This position requires 100% in office presence.
PRIMARY RESPONSIBILITIES
- Access Commercial Bank portals to download lockboxes. Sort and batch FMCCP and MCW commercial lockbox receipts by team. All team totals (lockbox tickets) must equal the credit advice from the bank for each deposit day. Prepare a computerized batch summary listing using Excel. Forward batches to the Posting team.
- Segregate and pend lockbox checks that are assumed to be part of an EDI file. Monitor and take appropriate action if pending checks are part of an EDI file, or not.
- Resolve commercial lockbox discrepancies by contacting the bank. Follow up on all discrepancies until a resolution is reached.
- Audit and verify all revenue totals for preparation of the internal bank deposit. Prepare corresponding daily financial reports in Excel to reflect revenue received for each business day.
- Accurately enter payment totals on various internal receipting/reporting for the Daily & Cumulative Report. Once verified, forward to appropriate FMCCP and MCW leadership.
- Update EFT payments on the Outstanding spreadsheet to ensure EFTs can match to associated EFI files using a macro scripting.
- Batch and post manual check payments in the BMO Deposit Edge bank portal. Reconcile payments against Deposit Edge reporting and then forward to the Posting team.
- Monitor and batch Journal Entry and Direct Deposit payments funded by MCW Finance. Forward to Posting Team.
- Obtain EOBs for manual posting using insurance portals. Sort and batch according to insurance team. Forward to Posting team.
- Review lockbox correspondence received from Mail Clerk and Interoffice mail. Forward to appropriate department/team within 24 hours of receipt.
- As needed, prepare guarantor letters to mail with check payments that were received in error.
- Monitor and prioritize daily workflow. Verify that all job duties are completed efficiently and within the appropriate time. Alert Supervisor of issues that may impact a timely completion of financial reporting and/or prepared batches for posting.
- Monitor month-end close to ensure lockbox, guarantor, direct deposits, journal entries, and charge card payments are processed within the established required time.
- Complete special projects as assigned by Supervisor.
- Assist in developing, writing, updating, and implementing protocols.
- Train and mentor staff as required on all system functions and changes and assist in the training of employees as needed.
- Other duties as assigned.
