The Client Service Specialist serves as a vital front-line representative of Signature Wealth and plays a key role in delivering an exceptional client experience. This individual provides administrative and client service support while serving as the first point of contact for clients, visitors, and prospective clients.
Working within our Ensemble Practice Model, this role collaborates closely with advisors and internal teams to ensure a seamless, welcoming, and high-touch client experience.
What You’ll Do:
- Serve as the primary point of contact for clients, visitors, and vendors
- Answer and route incoming phone calls, emails, mail and messages
- Maintain a professional and welcoming reception area and meeting spaces
- Coordinate meeting room scheduling and meeting preparation
- Manage advisor calendars and assist with scheduling client meetings and reviews
- Assist with scanning, filing, CRM updates, and document organization
- Process routine client service requests including account updates, money movements, beneficiary changes, and account access requests
- Open brokerage and custodial accounts while ensuring all required documentation is complete and accurate
- Support client offboarding activities, including account closures, asset transfers, and final documentation
- Support client events, welcome gifts, and "Raving Fan" opportunities
- Support internal projects and cross-departmental initiatives
- Maintain accurate records and uphold strict confidentiality standards
