Title of Position – Office Coordinator, Campus Security (full-time)
Function of Position
The Campus Security Office Coordinator provides administrative and customer service support for the College’s parking program and Campus Security Office. This position is responsible for parking registration and billing, permit and decal distribution, records management, key coordination, office communications, and compliance support. The role requires strong attention to detail, professionalism in customer service, and the ability to work independently within established procedures.
Principle Duties and Responsibilities
Parking Program Administration - 40%
- Process parking fines, fee assessments, adjustments, and routine billing through Jenzabar.
- Enter parking registration data, vehicle information, and parking citations into the system for tracking and billing.
- Distribute parking registration forms and assist students, faculty, and staff with vehicle registration.
- Issue parking decals, temporary permits, and visitor passes.
- Assign students to parking lots following initial placement and manage reassignment requests.
- Determine ownership of unregistered vehicles and maintain access to Iowa DOT vehicle registration records.
Customer Service and Communication - 25%
- Serve as a primary contact for parking‑related questions and concerns from students, parents, faculty, staff, and visitors.
- Provide parking information for new students and families.
- Answer incoming telephone calls, provide information, and refer inquiries as appropriate.
- Screen incoming correspondence and route or respond appropriately.
- Forward security‑related requests to the Director of Campus Security or Security Officers.
Office Coordination and Administrative Support - 25%
- Coordinate key requests with faculty, staff, students, and the locksmith for cutting and distribution.
- Prepare purchase orders, reports, memoranda, and other administrative documents.
- Prepare and proofread outgoing correspondence.
- Support general office operations for the Campus Security Office.
Records Management and Compliance - 10%
- Maintain the campus lost‑and‑found repository.
- Collect, track, and maintain incoming Clery Act–related data to support federal compliance and reporting.
- Perform other related duties as assigned.
Supervision
The position operates under clearly defined objectives established by the Director of Campus Security. The employee plans and organizes daily work independently, following established procedures, and consults with the supervisor on non‑routine or unusual matters.
Minimum Qualifications
- High school diploma or equivalent required.
- Proficiency with Microsoft Office applications (Word, Excel, Outlook) and general office technology.
- Minimum of two years of effective administrative or office support experience.
- Strong organizational skills and attention to detail.
- Strong customer service experience, including working directly with students, parents, faculty, and staff.
- Ability to provide courteous and professional customer service.
- Ability to manage confidential information with discretion.
