INTRODUCTION
We are seeking a highly organized, detail-oriented Legal Assistant & Contracts Administrator to support the Director, Legal Counsel in managing the day-to-day operations of a fast-growing consulting firm.
As the first dedicated legal support hire, this role is critical in supporting the continued development of a technology-enabled legal function. The position blends contract administration, legal operations, and administrative support, while also driving process improvement and operational efficiency.
Partnering closely with the Legal Director, you will help implement systems, streamline workflows, and enhance legal service delivery across the organization. This is a high-impact role with significant ownership—ideal for someone who thrives in a build-and-create environment and is excited to leverage technology and AI to improve outcomes.
Note: All contract-related activities are performed under the supervision of the Legal Director and do not constitute the practice of law.
ROLE AND RESPONSIBILITIES
Contract Lifecycle Management
- Serve as the primary coordinator for contract intake, workflow tracking, and document management.
- Manage a high volume of agreements, including:
- Professional services agreements
- NDAs
- Vendor and subcontractor agreements
- Licensing and technology agreements
- Amendments and related documents
- Maintain and continuously improve the contract tracking system.
- Assist with initial contract triage by summarizing key terms, identifying non-standard provisions, and escalating risks to the Legal Director.
Legal Operations & Process Improvement
- Support the development and evolution of legal department processes, systems, and policies.
- Maintain templates, playbooks, and knowledge management resources.
- Build and optimize workflows to ensure consistency, efficiency, and scalability.
- Prepare and format legal documents, reports, presentations, and correspondence for internal stakeholders and leadership.
- Identify opportunities to improve efficiency through automation, technology, and AI-enabled tools.
Research & Regulatory Support
- Conduct preliminary legal and business research to support decision-making.
- Monitor regulatory developments and industry trends, providing concise summaries and actionable insights.
Stakeholder & External Coordination
- Act as a key liaison between Legal and internal teams to gather information and support contract review and execution.
- Build strong cross-functional relationships to facilitate efficient legal support and issue resolution.
- Support management of external counsel, including coordinating communications and tracking invoices.
Training & Innovation
- Assist with coordination and administration of internal legal training programs.
AI Integration & Departmental Efficiency
- Champion the use of AI-powered legal tools, including contract review assistants, document drafting platforms, and research tools, to accelerate the department's output and reduce manual workload.
- Identify opportunities to automate or streamline repetitive legal operations tasks (e.g., contract routing, deadline tracking, template management) by leveraging technology under the Legal Director's guidance.
- Serve as a force multiplier for the Legal Director by taking full ownership of execution-level tasks, ensuring that the Legal Director's time is reserved for high-judgment, attorney-only work. The ideal candidate actively looks for ways to do more with less, using AI and process improvements where appropriate to expand what this two-person department can accomplish.
BASIC QUALIFICATIONS
- 3–5 years of experience in a Legal Assistant, Contracts Administrator, or Legal Operations role (preferably in-house).
- Strong experience with contract management systems, document organization, and workflow tracking.
- Familiarity with legal technology tools and a willingness to adopt AI-enabled solutions.
- Ability to review contracts at a high level, identifying key risks and non-standard terms under attorney supervision.
- Excellent organizational, project management, and multitasking skills.
- Strong written and verbal communication skills.
- High level of discretion and ability to manage confidential information.
- Proven ability to work independently in a fast-paced environment with a proactive, solutions-oriented mindset.
- Experience building or improving processes from the ground up is strongly preferred.
- Comfort with AI: Demonstrated ability to responsibly explore and adopt firm-approved AI tools to enhance productivity and innovation.
- Continuous Learning Mindset: Openness to learning and applying emerging technologies including AI and automation in alignment with firm policies.
- Comfort working with AI-assisted legal tools (e.g., contract review platforms, AI drafting assistants, legal research tools) or a demonstrated eagerness to adopt and learn new technology quickly.

Tips for Your Contract Administrator Job Search
Tailor your resume to contract types
Hiring managers scan for the contract types you've managed, whether that's government FAR contracts, commercial agreements, or subcontracts. Name them explicitly in your resume rather than describing general contract work, so recruiters know your experience matches their environment.
Highlight your contract lifecycle fluency
Contract administrator roles vary widely by stage. Some focus on drafting and negotiation, others on execution and closeout. Clarify which phases you own in your work history so you're not passed over for roles that match your strengths perfectly.
Certify before you apply to federal roles
Federal and defense contract administrator postings frequently require or prefer a CFCM or CPCM certification. If you're targeting government contractors, earning one of these before applying positions you ahead of candidates with equivalent experience but no credential.
Apply early to roles that fit
Migrate Mate lists contract administrator openings from across the United States in one place, so you can find roles that match and apply directly to each listing.
Prepare scenario answers for risk questions
Interviewers for contract administrator roles regularly ask how you've handled a disputed deliverable, a missed milestone, or an indemnity clause disagreement. Prepare two or three specific examples before your interview so you can answer without generalizing.
Negotiate scope before accepting an offer
Contract administrator roles vary enormously in workload by contract volume and complexity. Before accepting, ask how many active contracts you'd manage and what the escalation process looks like, so you can assess whether the role matches your capacity and growth goals.
Contract Administrator Jobs: Frequently Asked Questions
Which companies are hiring the most contract administrators?
The companies hiring the most contract administrators right now include CENTSTONE SERVICES, Walgreens, and Artech, with the largest share of openings in California, Texas, and Michigan, based on current listings on Migrate Mate as of June 2026. Defense contractors, large construction firms, and healthcare systems consistently account for a significant portion of openings nationwide.
How many contract administrator jobs are remote?
About 12% of contract administrator openings are fully remote or hybrid as of June 2026, with the highest share in roles focused on commercial software licensing and procurement rather than construction or field-based contracts. On-site work remains more common in defense contracting and capital project environments where physical document management and site coordination are part of the role.
How do you become a contract administrator?
Start by earning a bachelor's degree in business administration, supply chain management, paralegal studies, or a related field. From there, build experience in purchasing, procurement, or legal support roles where you handle agreements and vendor relationships. Pursuing a certification such as the CFCM strengthens your candidacy, particularly for government or defense positions. Many contract administrators begin as contract coordinators or analysts and advance from there.
Can you get hired as a contract administrator with little experience?
Yes, entry-level contract administrator roles exist, particularly at larger organizations that hire coordinators or assistants to support senior staff. Emphasize transferable skills like attention to detail, experience with legal or procurement documents, and any coursework in business law or supply chain. Internships in procurement or compliance, even brief ones, carry real weight with hiring managers reviewing junior candidates.
What does the contract administrator interview process look like?
Most contract administrator interviews run two to three rounds. The first is typically a phone or video screen with HR covering your background and availability. The second involves a hiring manager or team lead asking about your experience managing specific contract types and handling disputes or amendments. Some employers include a written exercise where you review a sample contract and identify issues or draft a clause.
Where can I find and apply to contract administrator jobs?
You can find and apply to contract administrator jobs on Migrate Mate, which lists current openings from across the United States. Find roles that fit your experience, industry focus, and location preference, then apply directly to each listing. New openings are added regularly, so checking back frequently gives you access to roles before competition builds.
