INTRODUCTION
Our Business Development & Marketing team plays a critical role in enhancing the Firm’s reputation, expanding its client base and driving revenue growth. This team develops and implements strategic marketing plans to promote the Firm’s legal services, leveraging digital and traditional marketing channels to reach target audiences. They conduct market research to identify industry trends and client needs, positioning the Firm competitively within the legal marketplace. The team also manages client relationships, orchestrates business development initiatives, and seeks opportunities for partnerships and networking. Through compelling content creation, event planning and public relations efforts, they ensure that the Firm maintains a strong market presence and continues to attract and retain clients.
Position Summary
The Senior Coordinator, Marketing & Business Development Operations, plays a key role within the M&BD Operations team, which enables the wider Marketing & Business Development function to operate efficiently, consistently and at scale, and deliver against its goals and strategic priorities.
Working under the guidance of Specialists, Team Leads and senior team members, the Senior Coordinator provides high quality operational support across core M&BD processes – such as matter capture, directory and awards submissions, pitching and league table reporting – helping to ensure that work is delivered smoothly, accurately, on time and in line with firm standards.
The Senior Coordinator is an experienced team member who has developed practical knowledge of M&BD processes, systems, and ways of working and has demonstrated meaningful contribution to team, function and Firm’s objectives. The Senior Coordinator is able to mentor new joiners and more junior members of the team. They contribute confidently to global projects and act as a super connector across the wider M&BD function.

Duties and Accountabilities
Strategic planning and client cultivation
- Provide insight and share knowledge with more junior team members when building their capability to support key clients and industry activity.
- Proactively assist with gathering and organizing research on key clients, prospects, and industry trends to support strategic planning and client targeting efforts.
- Ensure client lists, contact databases, and records of client interactions are maintained and updated so that accurate information is available for planning, tracking, outreach and reporting.
- Support the scheduling and logistics of client meetings, events, and follow-up activities.
- Support the coordination of client feedback activities, including scheduling, materials preparation and tracking.
Proposals and pitch excellence
- Act as a mentor to more junior team members and support with tier training and ongoing learning and development.
- Provide proactive support and sometimes lead in the preparation of pitches, proposals, and capability statements, including collecting bios, deal lists, and other supporting materials.
- Maintain pitch templates and standard materials to ensure consistency and quality and that templates and standardized documents are up to date and accessible for the team.
- Assist with the coordination of deadlines, document formatting, and the submission process for proposals and pitches.
- Assist with the matter capturing and updating of pitch outcomes and maintain and update credentials databases, ensuring timely and accurate data.
Practice and partner/lawyer positioning
- Responsible for drafting of submissions for legal directories (e.g. Legal 500, Chambers & Partners, etc.) and award entries, by research and assistance on submission preparation and gathering of client referees from our partners.
- Maintain tracking logs for submissions and deadlines to ensure timely completion.
- Maintain repositories for rankings, awards and related materials ensuring data quality and consistency.
- Lead the production and delivery of legal directory results summaries, ensuring a high level of accuracy and data optimization.
Cross functional collaboration and project delivery
- Act as a super connector to coordinate and work with other business services teams (e.g., marketing, research, events) to support smooth delivery of M&BD activities.
- Proactively seek to get involved with and provide logistical support for collaborative projects and team initiatives.
- Contribute to continuous improvement across M&BD Operations and the global function.
- Facilitate the flow of information and ensure timely completion of M&BD tasks, overseeing more junior members to ensure consistency.
- Mentor and support Junior Coordinators, helping build confidence, capability and consistency.
- Contribute to knowledge sharing documentation and training materials within M&BD Operations.
Performance and impact
- Be a trusted source of knowledge on processes, platforms and products across the function and help identify opportunities to connect and improve.
- Track and update key metrics and activity logs, supporting the team’s ability to monitor progress and report on outcomes.
- Oversee and assist in the preparation of regular reports and summaries for leadership and team meetings.
- Ensure all records and documentation are accurate, up to date, and compliant with firm standards.
- Support maintenance of calendars for the M&BD function.
- Support with new joiner inductions, raising the profile of the team and our service offering.
Essential Job Requirements and Qualities
- Bachelor’s degree or equivalent relevant experience.
- Interest in business development, marketing or professional services operations.
- Basic understanding of business development or professional services administrative processes, with the ability to learn and apply firm procedures and systems.
- Ability to complete routine tasks accurately and independently within established guidelines, while seeking guidance when needed.
- Strong organizational skills and attention to detail, with the ability to manage multiple tasks and meet deadlines.
- Developing analytical skills, with the ability to gather information, follow instructions, and make appropriate choices from defined options.
- Clear and professional communication skills, supporting effective collaboration with team members and stakeholders.
- Basic proficiency with business software and CRM platforms (or willingness to learn).

Compensation Range: $80,000 - $110,000
