The University of South Alabama’s Center for Continuing Education is seeking to hire a Coordinator Center for Continuing Education and Outreach. Interested candidates should apply to be considered.
Essential Functions
These are the job duties required of the position.
- Performs high-level administrative, organizational, and financial operations support for both the Center for Professional & Continuing Education and the Office of Global Outreach.
- Manages the daily office workflows and program logistics.
- Plays a critical role in fiscal management, ensuring accurate record-keeping, compliance with institutional policies, and smooth financial administration across all outreach initiatives.
- Processes journal entries and expense transfers between departments; maintains comprehensive, audit-ready expense documentation and financial records.
- Manages petty cash funds according to institutional guidelines, prepares timely bank and institutional deposits, and reconciles incoming payments.
- Issues and follows up on invoices for any continuing education programming.
- Handles daily cash, check, and credit transactions; prepares financial summaries and regular fiscal reports as directed.
- Uses a university purchasing card (p-card) in strict adherence to institutional policy; processes vendor invoices, agent contracts, and international commission payments.
- Works extensively within institutional financial systems (e.g., Concur, Banner) to submit travel expense reports, purchase orders, and payment requisitions.
- Makes comprehensive administrative and logistical arrangements for conferences, workshops, non-credit courses, and global outreach initiatives.
- Coordinates participant registrations, fee collections, and specialized billing for continuing education programs.
- Serves as the primary administrative support to the Executive Director of Outreach and Professional Development.
- Coordinates meeting schedules, itineraries, and domestic/international travel arrangements for the Executive Director.
- Receives and routes incoming physical mail and digital communications.
- Maintains organized electronic and physical filing systems for administrative, legal and program records.
