JOB DESCRIPTION AND POSITION REQUIREMENTS
The Department of GeoSciences at Penn State is seeking an Education Program Coordinator to assist with administrative and financial functions while providing excellent customer service. You will be an integral part of the International GeoBiology Course (IGC) and Dr. Kate Freeman’s lab.
What You’ll Do:

Oversee coordination, planning, and arranging of the IGC and affiliated events Mini-Symposium, including:

Arrange field trips, guest speakers, and course activities, both at Penn State and abroad
- Arrange catering and book venues
- Order supplies
- Oversee/facilitate student applications and evaluation by faculty
- Oversee/facilitate admitted student communication and course registration
- Manage internal/external lodging logistics
- Facilitate registration and tuition payments
- Collect all course documents
- Initiate reconciliation and track processing for all expenses
- Process honorarium payments
- Create annual budget reports
- Create announcement/marketing emails
- Create, maintain, and manage listserv
- Maintain webpage/upload content
- Create job posting for undergraduate students
- First point of contact for all course related communications

Arrange recurring IGC Alumni Meeting at a conference TBD

Aid in Dr. Freeman’s lab operations

Order supplies
- Initiate travel reconciliation
- Ensure Penn State lab safety training requirements
- Manage calendars
- Assist with award reporting
Skills You Should Have:
- Excellent written and oral presentation skills
- Strong attention to detail
- The ability to maintain confidentiality
- A willingness to work in a fast-paced, team environment
- A commitment to fostering diversity, equity, inclusion, and belonging
- Experience using financial and human resources information systems such as Workday, SIMBA, SAP Concur or similar systems.
