JOB DESCRIPTION AND POSITION REQUIREMENTS

The Department of GeoSciences at Penn State is seeking an Education Program Coordinator to assist with administrative and financial functions while providing excellent customer service. You will be an integral part of the International GeoBiology Course (IGC) and Dr. Kate Freeman’s lab.

What You’ll Do:

1. Oversee coordination, planning, and arranging of the IGC and affiliated events Mini-Symposium, including:

2. Arrange field trips, guest speakers, and course activities, both at Penn State and abroad

3. Arrange catering and book venues
4. Order supplies
5. Oversee/facilitate student applications and evaluation by faculty
6. Oversee/facilitate admitted student communication and course registration
7. Manage internal/external lodging logistics
8. Facilitate registration and tuition payments
9. Collect all course documents
10. Initiate reconciliation and track processing for all expenses
11. Process honorarium payments
12. Create annual budget reports
13. Create announcement/marketing emails
14. Create, maintain, and manage listserv
15. Maintain webpage/upload content
16. Create job posting for undergraduate students
17. First point of contact for all course related communications

18. Arrange recurring IGC Alumni Meeting at a conference TBD

19. Aid in Dr. Freeman’s lab operations

20. Order supplies

21. Initiate travel reconciliation
22. Ensure Penn State lab safety training requirements
23. Manage calendars
24. Assist with award reporting

Skills You Should Have:

• Excellent written and oral presentation skills
• Strong attention to detail
• The ability to maintain confidentiality
• A willingness to work in a fast-paced, team environment
• A commitment to fostering diversity, equity, inclusion, and belonging
• Experience using financial and human resources information systems such as Workday, SIMBA, SAP Concur or similar systems.
