Facilities Maintenance Technician Jobs in Florida

AHNTECH, Inc. is seeking a highly organized CMMS / Service Order Dispatcher to support a facilities maintenance and repair contract at Eglin Air Force Base.

This position will serve as the central work-control, subcontractor-coordination, and maintenance-documentation member of AHNTECH's on-site team. Primary responsibilities include receiving service requests, creating and tracking work orders, maintaining the CMMS, scheduling preventive maintenance, coordinating specialty subcontractors, maintaining asset records, monitoring response and completion deadlines, and supporting contract reporting.

A significant part of this position will be coordinating subcontracted maintenance and repair work. AHNTECH's staffing model uses qualified specialty subcontractors for work requiring specific licenses, certifications, manufacturer qualifications, specialized equipment, or technical expertise. AHNTECH remains responsible for scheduling, quality, safety, access, documentation, customer coordination, and overall performance of this subcontracted work.

This is not a desk-only clerical position. The CMMS / Service Order Dispatcher will be expected to actively communicate with technicians, subcontractors, the Project Manager, Government personnel, suppliers, and vendors to keep maintenance work moving from initial request through final completion and documentation.

Primary CMMS / Work Control Responsibilities

• Serve as a central receiving point for facility outages, repair requests, service calls, and maintenance issues.
• Create, issue, update, track, and close work orders in AHNTECH's CMMS.
• Accurately document work-request descriptions, locations, equipment, priority, date/time received, assignment, status, completion, and resolution.
• Classify and prioritize emergency, urgent, and routine service calls in coordination with the Project Manager.
• Monitor contractual response and completion deadlines and immediately elevate approaching or missed requirements.
• Schedule and track preventive maintenance activities.
• Establish and maintain equipment and facility asset records.
• Enter PM procedures, frequencies, equipment information, inspection results, notes, labor, materials, and completion information.
• Assist with development and maintenance of annual, quarterly, and monthly inspection and PM schedules.
• Maintain electronic maintenance records and supporting documentation.
• Assist with preparation of monthly reports, planning documents, manpower information, meeting minutes, and other required deliverables.

Subcontractor Coordination Responsibilities

Subcontractor coordination will be a major responsibility of this position. Duties will include:

• Coordinate the scheduling and dispatch of specialty subcontractors for maintenance, repair, inspection, and testing activities.
• Contact vendors and subcontractors to communicate work requirements, locations, access needs, schedules, and required completion dates.
• Track subcontractor service calls from initial assignment through completion.
• Coordinate subcontractor schedules with the Project Manager, Government personnel, facility occupants, and AHNTECH technicians.
• Help arrange site access, escorts, base credentials, work locations, equipment access, and other logistical requirements necessary for subcontractors to perform their work.
• Ensure subcontractors receive sufficient work-order information, equipment details, photographs, asset information, and scope descriptions before arriving onsite.
• Follow up with subcontractors on open work, pending estimates, material availability, scheduling delays, and completion dates.
• Obtain and organize subcontractor service reports, inspection reports, estimates, invoices, certifications, photographs, and supporting documentation.
• Ensure completed subcontractor work is documented in the CMMS and associated with the correct facility, asset, and work order.
• Track deficiencies identified by subcontractors and immediately notify the Project Manager when additional work, Government approval, or an Above-and-Beyond repair may be required.
• Coordinate return visits when subcontractor work cannot be completed during the initial service call.
• Maintain current subcontractor contact lists, capabilities, certifications, and service information.
• Assist the Project Manager with identifying and scheduling qualified specialty vendors when new requirements arise.
• Monitor subcontractor performance and communicate recurring scheduling, quality, documentation, or responsiveness issues to the Project Manager.
• Help verify that subcontractor work packages and documentation are complete before work orders are closed.
• Maintain visibility of outstanding subcontractor actions and regularly provide status updates to the Project Manager.
• Coordinate parts, materials, equipment deliveries, and vendor support associated with subcontracted work.
• Assist with obtaining vendor pricing or quotations when directed by the Project Manager.

Customer and Team Coordination

• Maintain frequent communication with the Project Manager regarding work-order status, subcontractor schedules, overdue actions, and emerging maintenance issues.
• Coordinate with the HVAC/Maintenance Technician on service calls, inspections, parts needs, and PM activities.
• Communicate professionally with Government personnel regarding scheduling and work status as directed by the Project Manager.
• Keep all parties informed when schedules change or when delays could affect contract requirements.
• Help ensure emergency and urgent work is quickly routed to the appropriate AHNTECH employee or specialty subcontractor.
• Maintain organized records so the Project Manager can quickly determine the status of any open work order or subcontractor action.

Cross-Functional Facilities Support

Because this position is part of a small core maintenance team, the successful employee must also be comfortable assisting the operation outside of traditional dispatch or CMMS duties when needed.

Additional duties may include:

• Accompanying technicians or subcontractors during facility walkdowns.
• Physically verifying building, room, equipment, manufacturer, model, serial number, filter, and asset information.
• Taking photographs and documenting facility or equipment conditions.
• Checking the field status of open work orders.
• Assisting with inventory, materials, tools, parts pickup, deliveries, and organization.
• Supporting preventive-maintenance documentation and asset labeling.
• Assisting during service-call response or emergency situations.
• Helping maintain clean, orderly, and safe work areas.
• Providing general administrative and operational assistance to the Project Manager and HVAC/Maintenance Technician.

No employee will be expected to perform licensed or specialized trade work without the required training, certification, or license.

Required Qualifications

• Experience with CMMS, work-order management, maintenance scheduling, dispatching, facilities administration, subcontractor coordination, or a closely related function.
• Strong organizational and follow-up skills.
• Ability to coordinate multiple technicians, vendors, subcontractors, and work orders simultaneously.
• Strong computer and data-entry skills.
• Excellent attention to detail and recordkeeping ability.
• Ability to manage multiple open work orders and competing deadlines.
• Strong written and verbal communication skills.
• Comfortable communicating frequently by phone and email with vendors and subcontractors.
• Ability to professionally follow up on delayed work, missing documentation, scheduling issues, and outstanding actions.
• Ability to work effectively with maintenance technicians, subcontractors, management, and Government customers.
• Ability and willingness to perform both office and field duties.
• Basic understanding of facility systems and maintenance terminology, or the ability to learn quickly.
• Valid driver's license.
• Ability to obtain and maintain required access to Eglin AFB.

Preferred Qualifications

• Previous experience coordinating maintenance subcontractors or service vendors.
• Previous experience using a facilities-maintenance CMMS.
• Service-order dispatcher, maintenance scheduler, work-control, property-management, or facilities-coordinator experience.
• Experience supporting Government, military, commercial, industrial, or institutional facilities.
• Familiarity with preventive maintenance scheduling and asset management.
• Experience obtaining vendor quotes, coordinating service appointments, and tracking work through completion.
• Experience maintaining subcontractor documentation, service reports, estimates, and invoices.

Schedule

This is a full-time on-site position supporting operations conducted primarily within the contract's 6:00 a.m.–6:00 p.m. Monday-Friday operating window (8 hour shifts). Occasional weekend, holiday, or after-hours work may rarely be required for emergency situations.

Pay: $24.00 - $28.00 per hour
