Duties & Responsibilities
SUMMARY OF ESSENTIAL DUTIES AND RESPONSIBILITIES: This position oversees a company’s entire payroll function, ensuring accurate, timely, and compliant salary payments, tax filings, and benefits deductions. Key duties include managing payroll staff, maintaining HRIS/timekeeping systems, auditing data, ensuring compliance with federal/state laws, and generating financial reports.
- Payroll Processing & Accuracy: Oversee end-to-end payroll processing, including calculations, deductions, garnishments, and direct deposits.
- Specialized Processing: Handle off-cycle payroll, including bonuses, commissions, stock options, deferred compensation, relocation, and executive pay.
- Auditing & Analysis: Reconcile payroll adjustments, resolve errors, and perform audits to ensure accuracy before and after payment distribution.
- Reporting: Prepare specialized reports on payroll liabilities and tax compliance for management or tax authorities.
- Communication: Act as a liaison with HR and finance to address complex, non-routine pay inquiries from employees.
- Compliance & Reporting: Ensure compliance with local, state, and federal regulations; handle tax filings (e.g., W-2s, 941s), audits, and reporting.
- Systems Management: Implement, maintain, and upgrade payroll software, time-and-labor systems, and HRIS.
- Team Leadership: Supervise, train, and evaluate payroll staff.
- Internal Controls & Audit: Maintain strict confidentiality, balance accounts, and reconcile general ledger entries.
- Policy & Process Improvement: Update policies, document SOPs, and improve workflow efficiency.
Minimum Qualifications
- Master’s degree from an accredited college or university in Accounting, Finance, Business Administration or a related discipline with an emphasis on accounting and financial systems; and two (2) years of responsible-level experience in fiscal management or administration with an emphasis on financial systems, management information and controls, one (1) year of which must have been in a responsible administrative or managerial capacity; or
- Bachelor’s degree from an accredited college or university in disciplines, as listed in “1” above; and three (3) years of experience, as described in “1” above, one (1) year of which must have been in a responsible administrative or managerial capacity.
