The Business Office Representative’s primary job responsibility includes scheduling, patient registration, receptionist, and admitting duties.
- Coordinates with physician offices and clinical staff to schedule patient procedures, confirming procedure details, dates, times, and provider requirements.
- Collects and verifies patient demographic and registration information to accurately establish patient accounts and support efficient billing and reimbursement processes.
- Delivers exceptional customer service by professionally assisting physicians, patients, vendors, and staff in person and by phone, creating a positive patient experience.
- Prepares and reviews patient charts to ensure all required documentation is complete, accurate, and available prior to the scheduled procedure.
- Verifies patient insurance coverage and obtains necessary information from physician offices or directly from patients.
- Contacts insurance carriers to confirm eligibility, benefits, deductibles, copayments, waiting periods, and authorization requirements before scheduled procedures.
- Educates patients on their financial responsibilities, including estimated out-of-pocket costs, payment options, and the facility's financial policies.
- Welcomes and registers patients on the day of their procedure, obtaining required signatures, insurance documentation, and other necessary forms.
- Collects patient copayments, deductibles, and other applicable payments while issuing accurate receipts.
- Applies patient identification armbands, verifies patient information according to established protocols, and communicates patient readiness to the pre-operative nursing team for admission.

- Education: High School Diploma or GED, required. 2 Year / Associate Degree, preferred. 4 Year / Bachelors Degree, preferred.
- Experience: 1 year of experience in Medical Business Office experience, preferred.

Computer literacy, able to do word processing and Excel spreadsheets; able to independently use office equipment such as fax, copier and scanner; sufficiently proficient in medical equipment to guide the selection and bid process. Able to operate all appropriate clinical equipment in a safe and appropriate manner. Able to perform the necessary functions on the center's computer systems. Cooperative work attitude toward co-employees, management, patients, visitors and physicians. Ability to make decisions and solve problems. Language skills adequate for high-level written, interpersonal and telephone communication in American English.
