SUMMARY
As Practice Manager, you will lead the Advice Team’s daily operations, ensuring a seamless client experience and supporting our long-term vision. This role requires adherence to high standards of ethics, compliance, and professionalism while facilitating efficient workflows and client service excellence.
KEY RESPONSIBILITIES
Client Care:
- Create a welcoming and professional environment for clients and prospects.
- Document client interactions in the management system to ensure continuity and compliance.
- Uphold regulatory standards when engaging with clients and prospects.
- Professionally manage incoming calls, ensuring prompt response and accurate routing.
- Process incoming and outgoing mail and maintain logs in accordance with compliance regulations.
- Scan checks and maintain accurate records as required.
- Implement client segmentation and service models to meet service level standards.
- Oversee prospect engagement and ensure timely follow-up.
- Track fees and compliance requirements and communicate updates during client preparation.
- Lead team huddles using dashboards and reports to monitor task progress.
- Complete advanced client service tasks including wires, case research, and secure site registration.
- Conduct audits to ensure task accuracy and operational efficiency.
- Provide training and support to team members and operational partners.
- Manage mergers and acquisitions within the Advice Team.
- Delegate projects and provide constructive feedback to support staff.
- Review procedures for quality improvements with a focus on compliance.
- Provide backup support to other Practice Managers as needed.
- Perform additional duties as assigned.
Business Management:
- Manage equipment and facilities including maintenance, service contracts, and inventory tracking.
- Coordinate client transitions between advisors within the Advice Team.
- Plan and prioritize work schedules effectively.
- Utilize time management tools such as calendars and task lists.

EDUCATION, EXPERIENCE, AND LICENSING
- Bachelor’s degree or equivalent combination of education and experience (minimum three years).
- Active Series 7, Series 66 (or 63 and 65), and Iowa Life and Health licenses preferred but not required.
