About the Role
The Project Scheduler is responsible for maintaining and driving master project schedules for large, complex, multi-site projects. This role works cross-functionally with Engineering, Project Management, Procurement, and other stakeholders to gather status updates, track progress against milestones, identify schedule risks, and ensure project timelines remain accurate and actionable.
This individual will own the recurring schedule update process, ensuring all task progress, dependencies, procurement milestones, engineering deliverables, and critical path activities are reflected in the project plan. The Project Scheduler reports to the Manager of Project Management and plays a key role in helping teams deliver projects on time and with strong visibility.
In this role, you will…
- Own and maintain master project schedules for large, multi-site customer projects.
- Lead weekly schedule update processes by collecting progress updates from Engineering, Project Management, Procurement, and other key stakeholders.
- Ensure all project tasks, milestones, dependencies, and deliverables are accurately reflected in the schedule.
- Monitor critical path activities and proactively escalate schedule risks, delays, or resource constraints.
- Facilitate recurring schedule review meetings with internal teams.
- Partner with project managers and department leads to validate upcoming work, priorities, and forecasted completion dates.
- Track procurement timelines, material deliveries, and vendor milestones that impact project schedules.
- Support engineering teams in aligning design deliverables with installation, commissioning, and customer milestones.
- Prepare clear schedule reports, dashboards, and executive summaries for leadership review.
- Recommend recovery plans or sequencing adjustments when milestones are at risk.
- Improve scheduling standards, reporting tools, and planning processes for future projects.
- Promote accountability by ensuring owners understand upcoming deadlines and commitments.
Requirements
- Have a bachelor’s degree or equivalent practical experience in Project Management, Construction Management, Engineering, Business, or related field.
- Have experience maintaining complex project schedules in a fast-paced project environment.
- Have strong working knowledge of Microsoft Project, Primavera P6, Smartsheet, or similar scheduling tools.
- Have strong Excel skills and comfort analyzing project data.
- Can coordinate across multiple departments and communicate effectively with technical and non-technical teams.
- Are highly organized, detail-oriented, and proactive in following up on open items.
- Can identify risks early and help drive practical solutions.
- Have strong meeting facilitation and stakeholder management skills.
- Thrive in deadline-driven environments with shifting priorities.
- Have experience supporting large industrial, automation, controls, construction, or multi-site rollout projects (preferred).
