INTRODUCTION
The Real Estate Operations Administrator assists with managing the day-to-day processes of the real estate portfolio. They are responsible for creating and providing departmental reports. They will maintain all modules of the real estate database. Performs vendor management duties. Assists the VP/D with verification of monthly rent runs for accuracy and compliance. Assists with continuity of business functions and special departmental projects and presentations as requested.
ROLE AND RESPONSIBILITIES
- Maintain all modules of the real estate database and ensure data integrity.
- Troubleshoot system issues for users and collaborate with the vendor to resolve problems or request enhancements.
- Perform back-end updates and support system improvements.
- Create and deliver annual, quarterly, monthly, and ad-hoc reports for leadership, field operations, and internal teams.
- Provide insights that support decision-making and operational efficiency.
- Manage departmental vendor setup within real estate and financial systems.
- Assist with facilities contract documentation preparation and review.
- Ensure all required documentation is collected and maintained for compliance and audit readiness.
- Assist with departmental presentations, process improvements, and special initiatives.
- Serve as primary liaison between facilities and audit and QA teams.
- Support continuity of business planning, reporting, and execution.
- Partner with the Operations Manager to verify monthly rent runs for accuracy and compliance.
- Serve as a backup for key Senior Facility Operations Administrator (Lease Administrator) functions.
BASIC QUALIFICATIONS
- High school diploma or GED required; Bachelor’s degree preferred.
- Comprehension of commercial real estate portfolios and experience in a corporate environment.
- Technical savvy with MS Office Suite, especially Excel, and database maintenance.
- Proficiency with MS Office and experience using financial or real estate management databases.
PREFERRED QUALIFICATIONS
- Bachelor’s degree.
- Experience with Oracle Business Intelligence.
