Verify your degree field supports specialty occupation
Proposal Coordinator roles hinge on proving specialty occupation status. Pull the O*NET profile for your job code and confirm your degree field aligns directly with the duties listed, since a mismatch triggers USCIS RFEs more often than the title itself.
Target federal contractors with active H-1B history
Defense and government contractors routinely sponsor H-1B workers for proposal roles because bid compliance demands specialized skills. Use Migrate Mate to filter for employers with verified H-1B LCA filing history in proposal management and technical writing occupations.
Confirm your prevailing wage tier before negotiating
Run your job title and location through the OFLC Wage Search before your offer call. Proposal Coordinators typically fall between wage levels I and III depending on experience, and your offer must meet the certified level to clear DOL's LCA requirements.
Ask employers about cap-exempt filing options
Some proposal coordinator roles exist at universities, research institutions, or affiliated nonprofits that are cap-exempt, letting your employer file outside the annual H-1B lottery. Ask directly during the offer stage whether the entity qualifies under USCIS cap-exempt rules.
Document proposal management experience with quantified outcomes
USCIS scrutinizes whether a Proposal Coordinator role genuinely requires a bachelor's degree. Build a work history file with proposal values, win rates, and team scope to support the specialty occupation argument your employer's attorney will need to make.
File during the premium processing window if timelines are tight
If your OPT or cap-gap authorization expires before a standard H-1B adjudication completes, your employer can pay for premium processing to get a decision within 15 business days, per USCIS. Raise this option with HR before your start date is set.
H-1B Visa Proposal Coordinator: Frequently Asked Questions
Does a Proposal Coordinator role qualify as a specialty occupation for H-1B purposes?
It depends on how the employer defines the position. USCIS requires that a specialty occupation role normally requires a bachelor's degree or higher in a specific field. If the job description mandates a degree in business, communications, or a related discipline and the duties align with that credential, the role can qualify. Generic coordinator titles with flexible education requirements are more likely to face a Request for Evidence.
Which industries hire Proposal Coordinators and are likely to sponsor H-1B visas?
Federal government contractors, defense firms, engineering consultancies, and professional services companies are the most consistent H-1B sponsors for Proposal Coordinator roles. These employers regularly file LCAs for proposal and contract management positions because winning government bids requires specialized skills. You can browse employers with verified H-1B filing history for this occupation on Migrate Mate.
Can my employer file an H-1B petition for a Proposal Coordinator role outside the annual lottery?
Only if the employer qualifies as cap-exempt. Universities, nonprofit research organizations, and certain government research entities are exempt from the 85,000-slot annual cap. Most private contractors and consulting firms are cap-subject, meaning your petition enters the lottery held each March. If you're currently on OPT, your employer needs to file before the April 1 filing window opens.
What documents should I prepare to support my employer's H-1B petition for this role?
Your employer's attorney will typically need your degree certificates, official transcripts, a detailed resume showing proposal-related responsibilities, and any certifications in project or contract management. If your degree is from outside the U.S., a credential evaluation from a NACES-member organization is usually required. Strong documentation of your proposal outcomes strengthens the specialty occupation argument in the petition.
How does the prevailing wage requirement affect H-1B sponsorship for Proposal Coordinator positions?
Your employer must certify through DOL that your offered wage meets or exceeds the prevailing wage for your occupation and work location before filing the H-1B petition. The prevailing wage for Proposal Coordinator roles varies significantly by metro area and experience level. You can check the applicable wage tier for your location using the OFLC Wage Search before you negotiate your offer.
