Job Requirements

Under limited supervision, coordinates and oversees activities to maintain Perioperative and Procedural local information systems, including IR Inventory Management, Kronos EZCall, and Operating Room Supply Dispensing Cabinet. Responsibilities include maintaining tables and data integrity in the cabinet, hardware configuration, and communication with the server. Approves user access and monitors user activity at the cabinet for compliance. Oversees periodic inventory management aspects of the supply system and coordinates special projects as assigned by departmental management. Works with outside vendors and consultants as needed. Acts as liaison to IS&T and represents the department on system upgrades.

Responsibilities and Tasks

• Oversees Automated Dispensing Cabinets including but not limited to OR Supply Pyxis, IR Hi-IQ IRIS Supply system and CV Supply Systems. Acts as the Perioperative Scheduling systems administrator.
• Initiates projects consistent with the overall strategy for program maintenance and development.
• Functions as the Systems Administrator for the departments local systems.
• Coordinates efforts with operational managers to ensure the proper utilization of the Unit Based Cabinet resources in support of departmental supply dispensing practices.
• Responsible for the creation and management of various standard, ad hoc, and periodic system related reports to monitor the proper usage and effective clinical and business documentation systems.
• Implements patient safety initiatives as identified by management. Develops alerts, provides safe storage conditions and appropriate identification for look-alike/sound-alike abbreviations. Coordinates user education, implements functionalities designed to meet the goals of the department.
• Maintains training updates and needed materials from the vendor. Serves as the primary contact point with the vendor for daily operations. Coordinates proper system functionality and changes with IS&T group.
• Serves as the project leader for the installation and/or changes in new or existing local systems equipment.
• Serves as a liaison with other departments, particularly nurse managers, in responding to questions, inquiries, and problems.
• Serves as the technical resource to the staff as related to system functionality and troubleshooting of hardware and software problems.
• Maintains all equipment and supplies in a neat and orderly manner. Maintains workrooms in a neat and orderly manner.

Education & Experience

• Bachelor’s degree in Health Information Systems, Health Care Administration, Business Administration, Supply Chain or a related discipline is preferred. An equivalent combination of education and experience may be substituted for the degree.
• Three years of progressively responsible experience in administration of healthcare information systems preferred.
• Clinical experience in surgical or procedural services as a technical or technologist is preferred.

Knowledge, Skills and Abilities

• Demonstrated knowledge of organizational problem solving and analytical skills are required to evaluate and resolve operational issues.
• General knowledge of surgical and procedural services and/or supply chain is preferred.
• Proficient computer skills for analyzing utilization and inventory trends and efficient database management.
• Ability to coordinate daily work activities and motivate the performance of staff.
• Ability to coordinate efforts with various staff members and disciplines in and outside of the department to meet required objectives.
• Highly effective written and verbal communication skills are necessary to work with clinical, upper management, administrative and other personnel from multiple medical system departments and supervise staff.
