Responsibilities:
The Owner Services Representative's typical job functions include the following:
- Respond to owner and internal team member email and phone inquiries within 24 hours, providing timely and professional customer service.
- Manage owner inquiries related to unit upgrades, maintenance requests, rental revenue, and general property concerns.
- Serve as the primary liaison between Boyne Mountain, homeowners, and Homeowners' Association (HOA) Board members.
- Coordinate with and oversee outside vendors for owner and HOA projects, ensuring work is completed on schedule and according to expectations.
- Process owner rental revenue accurately and in a timely manner.
- Assist with association budget preparation, financial reviews, and reporting.
- Track invoices, monitor aging reports, and support accounts receivable follow-up.
- Prepare and distribute owner and association correspondence, notices, and mailings.
- Record and transcribe minutes for annual and quarterly HOA Board meetings.
- Attend HOA meetings as needed to provide operational support and documentation.
- Conduct routine property inspections to ensure compliance with quality standards, brand expectations, and safety requirements.
- Collaborate daily with Housekeeping, Maintenance, Security, and other departments to resolve operational issues and enhance the owner and guest experience.
- Provide cross-functional support to the Owner Services team as needed to maintain efficient departmental operations.
Qualifications:

- Demonstrate exceptional organizational and time management skills, with the ability to prioritize multiple projects and consistently meet deadlines.
- Are a self-starter who takes initiative, works independently, and follows projects through to successful completion with minimal supervision.
- Possess excellent written, verbal, and interpersonal communication skills, with the ability to build positive relationships with homeowners, association board members, vendors, and internal departments.
- Are proficient in Microsoft Office, including Outlook, Word, Excel, and Teams.
- Have experience coordinating projects, managing competing priorities, and maintaining accurate documentation.
- Thrive in a collaborative environment while also being comfortable making sound decisions independently.
- Have prior purchasing or procurement experience (preferred, but not required).
- Possess a valid driver's license.
