Overview
The Human Resources Specialist will support the HR department by performing various administrative and professional tasks related to human resources functions. This role is responsible for ensuring efficient HR operations, fostering a positive employee experience, and supporting the organization’s mission to provide an inclusive, supportive work environment.
Responsibilities
General HR Duties:
- Address employee inquiries, concerns, and needs promptly, directing them to the appropriate HR or management personnel as necessary.
- Maintain and update employee records in HR databases with a high level of accuracy, ensuring compliance with data privacy regulations.
- Ensure HR practices and policies comply with all applicable labor laws and regulations; participate in audits and reporting as required.
- Utilize HR systems and tools for tasks related to data entry, tracking, and reporting.
- Provide system support and troubleshooting assistance to employees.
- Assist with the implementation of performance management processes, including performance reviews and employee development plans.
- Generate reports on HR metrics, such as turnover, retention rates, and onboarding success rates, to support departmental goals.
Specialized Responsibilities:
Job Board Management:
- Post all new, replacement, and approved positions in iCIMS, ensuring timely and accurate activation of job requisitions.
- Review and validate each posting for completeness, accuracy, and alignment with approved job descriptions, compensation, and requirements.
- Ensure all job information is entered correctly in the ATS, including location, department, job codes, and posting details.
- Manage internal and external job postings, ensuring compliance with union agreements, policies, and required posting timelines.
- Coordinate and monitor internal union bidding periods; collect and submit qualified internal candidates to HR/management for review prior to external posting.
- Maintain consistent formatting, branding, and standardized language across all job postings (fonts, layout, and messaging).
- Audit job postings regularly to ensure quality, remove duplicates, close filled roles, and keep the job board clean and organized.
- Partner with HR, recruiters, and hiring managers to confirm posting details and resolve discrepancies or missing information.
- Track and document posting activity, ensuring adherence to internal processes and regulatory or contractual requirements.
- Support continuous improvement of job board practices to enhance candidate experience and maintain a professional, on-brand presence.
Qualifications
Education:
- Associate’s Degree in Human Resources, Business Administration or related field required.
- Bachelor’s Degree in Human Resources, Business Administration or related field preferred.
Minimum Work Experience:
- 2+ years in HR, with experience in recruitment, compensation, and/or employee onboarding preferred.
Required Skills, Knowledge, and Abilities:
- Knowledge of HR best practices and familiarity with employment laws and regulations.
- Proficiency in HRIS software (Lawson, API and iCIMS preferred).
- Strong organizational and multitasking skills.
- Excellent communication skills, with the ability to build rapport with candidates and employees.
