JOB OVERVIEW
The Executive Sales Support Administrator provides administrative support for the VP of Sales and Director of Sales. Works independently on special projects according to agreed timelines and special requests. This role will perform a variety of tasks for the sales team, and will report directly to the Vice President of Sales.
ESSENTIAL FUNCTIONS
- Keep apprised of customer sales activities to assist VP of Sales, Director of Sales, Regional Sales Managers and Territory Managers
- Provide timely reporting, as needed to Vice President of Sales and Sales Director in regard to sales functions developed to enhance the operation of Sales
- Tradeshows – Act as lead on local and national tradeshows including contracting - tracking lead lists
- Sales Contests – track rankings on a daily basis.
- New Account Setup – Thorough understanding of all components involved in setting up new accounts, act as first backup for New Account Setup.
- Work with internal staff to assist with customer ordering process as needed
- Responsible for tracking quotes for Elkay and EMR quotes for integrations to ensure timeliness
- Track sample volume to determine account qualification
- Seeks best rates for hotel accommodations for meetings
- Coordinates all flights and accommodations for those not able to access Certify including, interviewees, trainers, and guest-speakers
- Tracks and reconciles billing and invoices related to training and hotel accommodations
- Schedules and organizes complex activities such as meetings and conferences
- Assist with the coordination of sales events, such as training, conferences, and meetings
- Provide administrative support to the Revenue Cycle Manager and Vice President of Finance on revenue cycle and finance-related projects.
- Process and fulfill medical records requests, including both electronic and paper requests, while maintaining patient confidentiality and compliance with applicable privacy regulations.
- Assist with obtaining and tracking billing authorization requests.
- Assist in researching and resolving assigned insurance claim denial categories.
- Assist the Vice President of Finance with vendor invoice processing, accounts payable functions.

EDUCATION AND EXPERIENCE REQUIREMENTS

- At least 2-3 years previous experience providing administrative support for a sales organization

- Strong communication skills / Strong interpersonal skills
- Ability to multi-task and work well under pressure with a calm demeanor, excellent organizational skills and ability see projects to completion

- Work in varying degrees of temperature (heated or air conditioned)
- Position requires sitting, walking, reaching, bending, stooping, and handling objects with hands and/or fingers, talking and/or hearing, and seeing
