Position Overview
The Operations Assistant is a cross-functional position designed to support multiple departments throughout the organization. This role is ideal for someone who enjoys variety, adapts quickly to changing priorities, and loves solving problems.
Rather than performing the same tasks every day, you'll have the opportunity to learn nearly every aspect of the vacation rental business while supporting our team wherever assistance is needed most.
Responsibilities for the different departments this role will be assisting with.
- Respond promptly and professionally to guest inquiries.
- Coordinate luxury concierge services including: Private chefs, Yacht charters, Grocery pre-stocking, Luxury transportation, Exotic vehicle rentals, In-villa spa services, and Housekeeping
- Special occasion planning
- Ensure every guest receives an exceptional experience from inquiry through departure.
Property Management
- Coordinate vendors and service providers.
- Schedule maintenance and repairs.
- Assist with property inspections.
- Verify homes are guest-ready prior to arrivals.
- Monitor inventory and supplies.
- Assist with onboarding new luxury properties.
- Coordinate with housekeeping and maintenance teams.
Operations & Administrative Support
- Support multiple departments based on operational needs.
- Maintain organized records and documentation.
- Prepare reports and administrative documents.
- Update Guesty, CRM systems, and internal databases.
- Assist with special projects and company initiatives.
- Help improve operational processes and efficiencies.
- Social Media Content Creation
Qualifications

Requirements
- Valid driver's license and reliable transportation.
- Ability to travel between company-managed properties when needed.
- Flexibility to occasionally work evenings, weekends, or holidays based on operational needs.
- Ability to lift up to 30 pounds while assisting with property setup or inventory.
