Hours: 8:00 AM to 4:30 PM (One (1) Hour Lunch) unless otherwise dictated by Project Manager; 40-hour work week
Job Location: Columbus, OH 43701; Jobsites as assigned, this position is primarily in person

General Overview: The Project Administrator will assist the project team with daily administrative duties as assigned by the Project Manager (PM), Assistant Project Manager (APM), and Project Engineer (PE). This position will work in an office setting at our corporate offices and various jobsite field offices. This person should consistently demonstrate Integrity, Gratitude, Excellence, and Leadership.
Responsibilities:
- Collects, organizes, and maintains project documents in appropriate software
- Collects documents relating to plan changes and communicates changes to the project management team
- Prepares and provides reports and documentation to internal teams
- Orders resources as needed
- Assists with all change management, time and material invoicing, and allowance tracking
- Assists with the submission of Request for Information (RFI), including logging, tracking, and communicating information to internal team members
- Assists with subcontracts, pricing changes to work, and purchase orders as needed
- Supports submittal management
- Collects and routes material certifications, bills of lading, and jobsite tickets as needed
- Itemizes and codes invoices from vendors and subcontractors
- Coordinates with vendors and subcontractors to acquire invoices and obtain quotes
- Develops, tracks, and sends monthly invoices to customers
- Assists with revenue and cost projections
- Provides administrative support to assigned project team
- Coordinates with field staff to ensure documentation matches established processes
- Knows and adheres to all Company policies and procedures
- Other duties as assigned

Knowledge, Skills, and Abilities: Knowledge of Microsoft Office Suite, knowledge of grammar, spelling, and punctuation, knowledge of office equipment, skilled at handling multiple documents and files, ability to stand for extending periods of time, ability to walk extended distances, ability to communicate orally and in writing, ability to speak publicly, ability to be highly organized and accurate, ability to read and comprehend information from written materials, ability to work independently and in a team environment, ability to travel to and from the primary workplace daily, as well as to the occasional off-site locations such as job sites.
Qualifications
- Associate degree or higher in a relevant field of study, or at least two (2) years of experience in an administrative assistant or similar office support role required
- Must be able to successfully complete necessary background checks
- Must successfully pass a pre-employment drug screening. (George J. Igel & Co., Inc. is a SUPR Drug-Free Workplace and tests for marijuana)
- Must maintain an MVR (Motor Vehicle Record) that meets the Company eligibility
