What You Will Be Doing:
As an Asset and Procurement Specialist, you will play a critical role in managing the equipment, chemicals, supplies, and materials that support our nationwide janitorial and floor care operations. You will oversee asset tracking, coordinate repairs with floor care equipment and maintenance activities, support procurement and inventory initiatives, and ensure field teams have the resources they need to deliver exceptional service. Through data analysis, process improvement, and cross-functional collaboration, you will help enhance operational efficiency, control costs, and drive continuous improvement across asset and material management programs. This role is ideal for a highly organized professional who enjoys balancing administrative, analytical, and operational responsibilities in a fast-paced environment.
This is a hybrid position based out of our office in Tampa, Fl.
Asset and Procurement Specialist Duties & Responsibilities
- Serve as a primary resource for equipment, assets, and material information across the operations team.
- Maintain accurate records of company assets, including equipment location, status, maintenance history, and lifecycle data.
- Coordinate and dispatch repair requests, ensuring timely resolution and minimal disruption to field operations.
- Research, learn, and apply equipment specifications and troubleshooting information to assist with repair diagnostics and vendor coordination.
- Manage, maintain, and continuously improve asset tracking systems, databases, and operational dashboards.
- Track asset utilization, maintenance schedules, warranties, and replacement timelines to maximize equipment performance and longevity. Coordinate the deployment of assets.
- Assist in the development, implementation, and administration of chemical, equipment, and supply ordering programs.
- Lead daily procurement activities related to chemicals, janitorial supplies, equipment, propane, and other operational materials.
- Monitor inventory levels and recurring orders to ensure consistent product availability and operational readiness.
- Analyze purchasing, repair, inventory, and asset performance data to identify trends, cost-saving opportunities, and process improvements.
- Prepare and distribute reports related to procurement spending, repair expenditures, inventory usage, asset performance, and other key operational metrics.
- Partner with operations, vendors, and internal stakeholders to improve procurement workflows and asset management practices.
- Support vendor communications, order tracking, issue resolution, and purchase documentation.
- Identify opportunities to streamline processes and implement solutions that improve efficiency, compliance, and overall operational effectiveness.
- Partner with service providers on repair cost recoveries.
- Review and validate vendor invoices prior to payment.
- Assist with special projects and perform other related duties as assigned.
Asset and Procurement Specialist Requirements & Qualifications
- Associate's degree in Business Administration, Supply Chain, Operations, Facilities Management, or a related field preferred; equivalent work experience may be considered.
- Minimum of 2 years of experience in asset management, inventory control, procurement, facilities support, operations, or a related field preferred.
- Knowledge of janitorial equipment, facility services, chemicals, and consumable supplies is preferred.
- Advanced proficiency in Microsoft Excel, including data analysis, reporting, formulas, filtering, and spreadsheet management.
- Proficiency with Microsoft Office Suite and other business technology platforms.
- Experience working with inventory management, procurement, work order, or asset tracking systems is preferred.
- Strong analytical and problem-solving skills with the ability to interpret data and make informed recommendations.
- Exceptional attention to detail with a high degree of accuracy in data entry, reporting, and recordkeeping.
- Ability to manage multiple priorities, balance competing deadlines, and adapt to changing business needs.
- Demonstrated organizational and project coordination skills.
- Strong sense of accountability, ownership, and professional integrity.
