Administrative Assistant – Executive Vice President of Sales
Location: Englewood, CO
Reports To: Executive Vice President of Sales
Compensation: $30.00 per hour
Schedule: Monday – Friday | 8:00 AM – 5:00 PM
Position Summary
ONEflight International is seeking a highly organized, detail-oriented, and proactive Administrative Assistant to support the Executive Vice President of Sales. This role is responsible for managing daily administrative operations, preparing executive reports, coordinating schedules, and ensuring the efficient flow of information within the Sales department.
The ideal candidate is exceptionally skilled in Microsoft Office, particularly Excel and Outlook, thrives in a fast-paced environment, and possesses outstanding organizational and communication skills.
Key Responsibilities
- Provide daily administrative support to the Executive Vice President of Sales.
- Prepare, update, and maintain daily, weekly, and monthly sales reports.
- Create, analyze, and manage spreadsheets, dashboards, and tracking reports using Microsoft Excel.
- Manage the Executive Vice President's calendar, schedule meetings, and coordinate appointments.
- Organize and prioritize incoming emails and correspondence using Microsoft Outlook.
- Prepare professional presentations, reports, and meeting materials.
- Maintain confidential records and sensitive business information with discretion.
- Coordinate internal and external meetings, including agendas, meeting notes, and follow-up action items.
- Assist with travel arrangements, expense reports, and executive logistics.
- Communicate effectively with internal departments, executives, and external business partners.
- Maintain organized electronic and physical filing systems.
- Support special projects and perform additional administrative duties as assigned.
Qualifications - Required
- Minimum 3+ years of experience in an Administrative Assistant, Executive Assistant, or similar administrative support role.
- Minimum 3+ years of advanced experience with Microsoft Excel and Microsoft Outlook.
- Advanced proficiency in Microsoft Excel, Outlook, Word, and PowerPoint.
- Exceptional organizational and time-management skills.
- Strong attention to detail and accuracy.
- Excellent written and verbal communication skills.
- Ability to prioritize multiple tasks in a fast-paced environment.
- Ability to maintain confidentiality and exercise sound judgment.
- Professional demeanor with outstanding interpersonal skills.
Preferred Qualifications
- Experience supporting senior executives or executive leadership.
- Experience working in a sales-driven or corporate environment.
- Experience with CRM systems and sales reporting is a plus.
