We're looking for a highly organized, proactive, and collaborative Project Coordinator (Trade Shows & Events) to join our team. This role is perfect for someone who thrives in a fast-paced environment, enjoys managing multiple priorities, and is passionate about bringing complex projects to life from concept through execution.
As a key member of our Operations team, you'll partner closely with Project Managers, producers, creative teams, vendors, and clients to ensure projects are delivered seamlessly, on time, and with exceptional quality.
What You'll Do
Drive Project Success
- Support Project Managers in the planning, coordination, and execution of experiential marketing programs, events, exhibits, and branded experiences.
- Manage project timelines, schedules, workback plans, and key deliverables.
- Track project progress and proactively identify risks, challenges, and opportunities.
- Maintain organized project documentation, files, budgets, and reporting.
- Ensure adherence to internal processes, standards, and project workflows.
Collaborate Across Teams
- Serve as a central point of coordination between internal departments, vendors, partners, and stakeholders.
- Facilitate clear and timely communication across multiple project teams.
- Coordinate vendor deliverables and support procurement and production activities.
- Help ensure projects stay aligned with client expectations and business objectives.
Support Operational Excellence
- Assist with project estimates, resource planning, and budget tracking.
- Research materials, services, and production solutions as needed.
- Support the review of fabrication drawings, setup prints, and production documentation when applicable.
- Help onboard and train new team members and contribute to process improvements.

What You'll Bring
Required Qualifications
- Bachelor's degree or equivalent combination of education and experience.
- 2+ years of experience in project coordination, project management support, event marketing, experiential marketing, agency operations, or a related field.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication abilities.
- Ability to manage multiple priorities while meeting tight deadlines.
- Proficiency with Microsoft Office Suite, including Excel, PowerPoint, Word, and Outlook.
Preferred Experience
- Experience in experiential marketing, events, trade shows, exhibits, brand activations, or agency environments.
- Familiarity with project management and asset management systems.
- Understanding of production processes, fabrication, or event execution.
- Experience coordinating vendors, suppliers, and cross-functional teams.
