What You'll Do:
- Support Project Managers by coordinating project activities, schedules, documentation, and communication throughout the project lifecycle.
- Assist with project planning by organizing timelines, tracking milestones, and helping ensure deliverables remain on schedule.
- Coordinate with internal teams, vendors, customers, and subcontractors to facilitate project execution and resolve routine issues.
- Maintain project documentation, including contracts, submittals, O&Ms, change orders, meeting notes, and project files.
- Track project budgets, purchase orders, invoices, and other financial documentation, providing updates to the Project Manager as needed.
- Monitor project progress and prepare regular status reports, highlighting schedule updates, potential risks, and outstanding action items.
- Assist with scheduling project meetings, coordinating resources, and following up on assigned tasks to keep projects moving forward.
- Support quality and compliance efforts by ensuring project documentation is accurate, complete, and maintained according to company standards.
- Assist with project closeout activities, including final documentation, customer deliverables, and lessons learned.
What You'll Need:
- 2+ years of project coordination, project administration, construction administration, or related experience with a general contractor, equipment manufacturer, equipment distributor, or industrial services organization.
- Associate's or bachelor's degree in Business, Construction Management, Engineering, Project Management, or a related field preferred, or equivalent combination of education and or experience of job related industry.
- Familiarity with municipal water/wastewater equipment & instrumentation processes, is a plus.
- Ability to read and interpret engineered specifications, construction drawings, and P&IDs (Piping and Instrumentation Diagrams).
- Strong organizational and time management skills with the ability to manage multiple projects and competing priorities simultaneously.
- Experience tracking project schedules, documentation, purchase orders, and project-related financial information.
- Proficiency with Microsoft Office 365, including Outlook, Word, Excel, PowerPoint, Bluebeam, Teams, and Microsoft Project and/or Planner.
- Experience with AutoCAD or similar drafting software is preferred but not required.
- Strong written and verbal communication skills with the ability to collaborate effectively across departments, with customers, Engineers and General Contractors.
- Detail-oriented with the ability to work independently, solve problems proactively, and meet deadlines in a fast-paced environment.
