YOUR ROLE
As a Project Coordinator, you are a highly skilled organizer who coordinates people’s feedback and schedules, while assuring timely processing and tracking of key deliverables in support of the project management team. As a task manager, you offer superb attention to detail, working under minimal supervision while demonstrating proactive and reliable support. Some of the ways you will support our projects:
- You have a Bachelor’s degree or higher and 3+ years of experience in related industries such as AEC.
- You provide account administrative support, including: coordinating requests for client equipment, email accounts, and badges both for the internal team and vendors/subcontractors, as requested for projects.
- You troubleshoot as needed to support the team’s success.
- You assist with budgets for projects and programs, including real estate, financing, soft costs, hard costs, and equipment.
- You manage an accurate and timely monthly invoicing review and approval process.
- You responsibly follow up with vendors and consultants with regard to invoice corrections and backup documentation.
- You create and maintain Excel files for tracking invoices, change orders, contracts, and insurance certificates.
- You review contracts in coordination with Legal and Project Managers, including processing final contracts for execution and tracking approval progress.
- You manage contract administration of consultants, contractors, and vendors and ensure compliance with insurance requirements.
- You assist with the project closeout, including the designer and builder’s contracts, deductive change orders, and determining final project costs.
- You schedule and organize project meetings, conference calls, and appointments as needed by the Project Management team.
- You attend meetings as requested by the Project Management team and take meeting minutes, and provide action items.
- You coordinate, update, and distribute project documents, reports, and deliverables to internal and external stakeholders.
- You upload to a cloud-based file hosting site all project files using established project naming and organization standards.
- You develop or assist with the enhancement of Program and Project quality control and reporting systems, with the focus placed on increasing levels of detail for Executive Summary to Detailed Analysis covering Status, Cost, Schedule, and Open Items for the program projects.
- You have a rudimentary knowledge of project management processes and understand the basics of the Owner’s Rep/Developer industry.
- You have demonstrated knowledge and understanding of project controls, project management, construction documentation, and sequencing.
