The Project Coordinator will support the Integration Management Office (IMO) by owning project coordination, reporting, and administrative functions that help integrations stay organized and on track. This role will allow Integration Managers to focus on leading firm integrations and driving outcomes while the coordinator manages recurring processes, follow-up activities, and project administration.
ROLE AND RESPONSIBILITIES
Project Coordination:
- Schedule and coordinate integration meetings, working sessions, and governance forums.
- Prepare agendas, meeting materials, and meeting notes.
- Track action items, decisions, risks, and follow-ups.
- Maintain project plans, trackers, and supporting documentation.
Reporting & Communications:
- Prepare weekly and bi-weekly status reports for partner firms and internal stakeholders.
- Collect and consolidate updates from functional teams.
- Maintain integration dashboards and reporting materials.
- Assist with preparation of executive updates, status decks, and presentations.
Accountability & Follow-Up:
- Monitor open tasks, milestones, and deadlines across active integrations.
- Follow up on overdue items and help ensure commitments are completed.
- Escalate unresolved issues, risks, or dependencies to Integration Managers.
- Support governance processes by maintaining issue, risk, and decision logs.
Coordinate recurring integration activities such as:
- Press release and announcement readiness
- Integration kickoff logistics
- Steering committee preparation
- Deal L10 action item tracking
- Documentation and SharePoint maintenance
- Lessons learned and continuous improvement tracking
- Smartsheet maintenance and reporting
BASIC QUALIFICATIONS
- 1–3 years of project coordination, project management, operations, or administrative support experience.
- Strong organizational and time management skills.
- Exceptional attention to detail and follow-through.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office applications.
- Experience with Smartsheet, Teams, SharePoint, or similar collaboration tools preferred.
- Accurate and timely status reporting.
- Consistent follow-up and closure of action items.
- Well-organized project documentation and governance materials.
- Increased capacity for Integration Managers to focus on integration strategy, stakeholder management, and execution rather than project administration.
Internal Application Policy:
Internal applicants must be in good standing and have a minimum of 1 year of service with Kestra. Internal applicants must also have a minimum of 1 year service in current role unless approved by EVP.
