The Role
The Shared Services Project Coordinator is responsible for supporting Shared Services and IT leadership with contract management, purchase order entry and receipt, sourcing activities, invoice coordination, document management, and administrative project support. This position requires strong organizational skills, attention to detail, effective communication, and active participation in fulfilling the mission and priorities of the Shared Services and IT departments.
What You’ll Do
- Support sourcing and procurement activities, including preparation of RFPs, related procurement documentation, contract and lease routing, purchase order issuance, and change order coordination.
- Manage Shared Services and IT purchase requisitions, including obtaining supplier quotes, verifying applicable terms, converting requisitions to purchase orders, and confirming receipts.
- Review monthly profit and loss activity and update Shared Services/IT tracking spreadsheets with actual results.
- Monitor Shared Services/IT renewals and notify appropriate personnel of upcoming actions or required follow-up.
- Manage invoice-related activities, including coding and routing invoices for approval, completing expense reports for recurring charges, and supporting Accounts Payable invoice reconciliation.
- Track company phone and internet bills and allocate monthly Verizon cell phone charges for Finance review or processing.
- Scan, index, retrieve, and research documents and information maintained in OIT systems or off-site secured storage, including requests from internal and external auditors.
Qualifications
What You’ll Bring
- High school diploma required. Prefer Assoc or bachelor's degree in business
- 1-3 years of purchasing or administrative experience required
- Knowledge – Basic knowledge of overall business strategy
- Skills – Strong communication skills (both oral and written) and presentation skills. Project management skills and demonstrable process implementation ability.
- Abilities – Ability to develop spreadsheets, databases and do word processing. Establish and maintain effective working relationship with management, coworkers, suppliers, contractors, salespersons etc. Ability to prioritize and is self-motivated. Demonstrate ability to maintain confidentiality of all personal information.
