INTRODUCTION

GMC is seeking a Project Coordinator to support active and high-impact projects in our Greenville, SC office. This is a dynamic role for a driven professional who thrives in a collaborative environment and wants to play a key part in delivering meaningful work across our communities. In this position, you will work closely with professional engineers, clients, contractors, regulatory agencies, and our Construction Engineering Manager/Construction Representative to keep projects moving forward with clarity, efficiency, and strong communication at every stage. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
- Provide high-level administrative support to engineering executives, including schedule coordination, meeting organization, and leadership of group training programs
- Facilitate clear and proactive communication across teams while anticipating needs, resolving scheduling conflicts, and managing shifting priorities and deadlines
- Support business development efforts by maintaining CRM systems, tracking client pipelines, and assisting with grant funding applications and compliance reporting
- Assist in pre-project planning by developing draft scopes, task orders, baseline schedules, and labor fee projections using historical and cost-based data
- Manage end-to-end project setup within financial and project management systems, ensuring accuracy in project data, billing structures, and tracking tools
- Partner with design and project managers to monitor budgets, track financial performance, and ensure adherence to schedule milestones throughout project delivery
- Maintain and reconcile monthly billing and project cost systems, including invoices, amendments, change orders, and subconsultant payments to ensure accurate financial reporting
- Support QA/QC processes by assisting with structured scheduling and time allocation oversight
- Lead the competitive bidding process, including coordinating advertisements for bids, preparing contract documents and specifications, and drafting pre-bid RFIs
- Compile and evaluate proposals, execute bid tabulations, and prepare letters of recommendation for contract award
- Coordinate distribution of finalized contract documents, amendments, addenda, and consultant agreements
- Serve as a central coordination point during construction administration, supporting communication between project managers, consultants, contractors, and regulatory agencies (RIA, SRF, COG, DES)
- Manage change notice and change order tracking systems to ensure proper documentation and workflow control
- Oversee pay application review and tracking throughout construction phases
- Lead project closeout activities, ensuring completion of financial reconciliations, regulatory approvals, punch lists, as-built documentation, and client deliverables
- Maintain accurate and complete project records within internal databases to ensure data integrity and reporting accuracy
QUALIFICATIONS
- Minimum of 2 years of experience in construction, accounting, engineering, or architecture-related industries
- High school diploma required; bachelor’s degree preferred
- Experience executing and maintaining contract documents
- Highly proficient in Microsoft Office Suite, with strong Excel skills
- Knowledge of Vantagepoint preferred
- Strong written and verbal communication skills
- Detail-oriented with excellent time management and organizational abilities
- Ability to multitask, prioritize effectively, and perform well under pressure
- Represent GMC professionally in all project-related interactions with clients, partners, prospective employees, and the community
- Reinforce GMC standards, culture, and core values in all aspects of work
- Demonstrate initiative, adaptability, and a commitment to continuous improvement in both quality and efficiency
- Contribute to improving project delivery processes and standards
- Support the Client Services team in achieving project and organizational goals
