Job Description:
Basic Function: The Payroll Assistant is responsible for the accurate and timely processing of the weekly payroll, consisting of approximately 1,800 non-exempt employees (including fluctuating student worker population). This individual maintains and submits payments for employee benefit programs, submits payroll tax payments, electronically transfers bank and benefit contribution files, and maintains payroll procedure documentation.
Unusual Work Conditions: Peak periods of workflow, highly confidential information
Knowledge and Skills Needed
Education: High School diploma is required. Associate’s Degree preferred or related equivalent experience.
Experience: Minimum of 1-2 years of professional experience is required. Microsoft Office applications experience required. Workday Payroll experience preferred.
Essential Functions:
This position will be responsible for the accurate and timely processing of weekly payrolls, including, but not limited to:
- Payroll data entry and retroactive pay review
- Processing, monitoring, and reporting of employee voluntary deductions
- Review of benefit and leave of absence items
- Understanding of taxable/nontaxable payroll items for verification of payments
- Validation of integration data to external vendors for tax and benefits compliance
- Remittance of payments to external vendors/departments
- Receive and process garnishment and child support notices
Responsible for the review and processing of weekly non-exempt employee time entries, including:
- Union Collective Bargaining Agreement compliance
- Shift and shift differential reviews
- Assisting employees in time entry
- Occasionally reviewing related policies and procedures with employees
Review and maintain banking processes including:
- Processing of prenotes, stop payments and reversals in Workday and banking portal
- Uncashed check monitoring
- Reissue missing or stale-dated payments
- Collaborate with accounting to complete annual escheatment process
- Confirm banking changes with employees
Maintain a comprehensive understanding of University policies and procedures for appropriate application to payroll processing and employee assistance:
- Effectively communicate policies, deadlines, and problem resolutions to promote an image of efficiency and courtesy to University faculty, staff, and student employees
- Understand and apply confidentiality of payroll data to maintain employee confidence in the payroll operations of Fairfield University
- Maintain a general understanding of Federal and State requirements for payroll tax, benefits, and other compliance items
- Support of Senior Payroll Assistant and semi-monthly payroll processes as needed
General:
- Attention to detail is critical
- Comfortable discussing financial matters over the phone with employees
- Monitor shared resource email account
- Manage announcements for changes in procedures
- Handling sensitive mail and filing of documents
- Order office supplies as needed
This position is based at Fairfield University’s Fairfield, CT campus. Hybrid schedule possible.
