About the role
The Hub Finance Manager (Operations) is an on-site, hands-on finance partner embedded within the warehouse / hub. The ideal candidate will be responsible for working with senior management to develop financial strategies for the Hub. This role is responsible for validating local operating expenses, enforcing cost controls, supporting operational decision-making, and serving as the financial bridge between the hub and corporate finance. The role requires deep understanding of day-to-day operations and frequent presence on the warehouse floor.
Key Responsibilities
Operational Finance & Cost Control
- Review, validate, and approve all hub-level operating expenses (labor, linehaul, vendors, equipment, supplies)
- Ensure expenses align with contracts, rate cards, and approved budgets
- Identify cost leakage, inefficiencies, and non-compliant spending
- Partner with hub leadership to implement corrective actions and cost-saving initiatives
Accounting & Expense Validation
- Confirm accuracy of vendor invoices, payroll hours, contractor payments, and local reimbursements
- Reconcile operational data (loads, routes, headcount, shifts) to financial records
- Support month-end close for hub-level P&L, accruals, and variance explanations
- Maintain strong documentation and audit trails for all local expenses
Operations Partnership
- Develop a working understanding of warehouse and transportation operations (inbound, outbound, sort, linehaul)
- Work directly with hub managers and supervisors to understand cost drivers
- Translate operational activity into financial impact
- Act as a finance thought partner rather than a back-office function
Reporting & Analysis
- Prepare weekly and monthly cost reports for hub leadership and corporate finance
- Track KPIs such as cost per parcel, labor productivity, and vendor spend
- Provide variance analysis vs. budget, forecast, and prior periods
- Support ad-hoc analysis related to volume changes, staffing models, and route optimization
Controls & Process Improvement
- Enforce internal controls over local spending and approvals
- Improve expense workflows, approval processes, and documentation standards
- Assist with roll-out of finance systems, tools, and policies at the hub level
- Support audits and internal reviews as needed
Qualifications
- 5+ years of experience in operations finance, cost accounting, or accounting within logistics, transportation, warehousing, or industrial operations
- Strong understanding of labor costs, vendor billing, and operational expense drivers
- Hands-on accounting and reconciliation experience
- Comfortable working on-site in a fast-paced warehouse environment
- Strong Excel skills; experience with ERP / accounting systems preferred
- Ability to communicate effectively with non-finance operational teams
- Bilingual in English and Chinese is a plus.
