We are looking for a proactive and service-oriented Office Coordinator to support our Atlanta office. In this role, you'll be responsible for ensuring the office runs smoothly day-to-day while creating a welcoming, functional, and well-organized environment for employees and visitors. You'll act as the go-to person for office-related matters, support internal teams, and collaborate with vendors and stakeholders to deliver a high-quality workplace experience. This role is a flexible hourly contractor position (20–40 hours per week), allowing scalability based on business needs.

- Responsible for handling office-related administrative tasks including travel support

General responsibilities:

Maintains a welcoming and functional office space including common areas and meeting rooms.
- Maintains and controls the badges and keycard information (activation, deactivation, updates)
- Acts as first contact person for office related matters for employees and office vendors.
- Supports reporting of office usage, costs, and operational trends using available tools and AI-assisted analysis, and shares insights with the Team Lead / Workplace Services
- Monitors, orders and refills snacks, beverages, office materials and Newbie merchandise. Checks and approves invoices
- Handles in and outgoing mail
- Organizes office events, activities and local Summer Party
- Collaborates with local functions in supporting events of 50+ people
- Collaborates closely with BIT, Finance and People team
- Uses company-approved AI tools in daily work to support administrative tasks, improve communication quality, and assist in reporting and coordination, following defined best practices.
Individual Responsibilities
- Ensure the offices comply with health, safety, and security requirements in collaboration with People Operations
- Makes updates on the Events and Office Wiki USA
- Negotiates/discusses with office vendors in terms of new agreements
- Acts as PlayMaster administrator for the local clubs
- Maintain the hotdesking application used by US employees (Maptician)
We're Looking For:
- Self-driven and proactive, with the ability to take ownership of tasks and follow through independently
- Strong time management and multi-tasking skills, with the ability to prioritize in a dynamic environment
- Prior experience in office coordination, administration, hospitality, or facilities management is an advantage
- Clear and professional communication skills, with a service-oriented and collaborative mindset
- Comfortable using digital tools, including company-approved AI solutions, to support daily work, improve efficiency, and produce high-quality outputs
- Ability to be a positive and welcoming presence in the Midtown office as needed
