The Role
In this role, you will provide essential administrative and operational support to the risk team, helping ensure priorities stay organized and work moves forward efficiently. You will be a key contributor to the team’s day-to-day effectiveness, bringing strong attention to detail, reliability, and a proactive mindset to a fast-paced environment. This is an opportunity to be part of a collaborative and cross functional team and make a meaningful impact by keeping operations running smoothly and supporting high-quality work across the group. Responsibilities include:
- Managing complex calendars across multiple time zones; scheduling meetings with internal stakeholders and external partners
- Coordinating virtual and in-person meetings, including preparing agendas, organizing materials, and capturing meeting notes
- Supporting document organization, formatting, proofreading, and version control
- Assisting with preparation and routing of contracts, correspondence, and internal documentation
- Maintaining organized digital filing systems and shared team resources
- Supporting risk operations initiatives, including tracking projects and deadlines
- Utilizing tools such as Microsoft Office, collaboration platforms, and workflow tools (e.g., Smartsheet) to improve efficiency
- Identifying opportunities for automation and process improvement to help the team work smarter
- Assisting with expense reporting, invoice processing, and other operational tasks
- Serving as a proactive partner to Risk leaders — anticipating needs, following up on action items, and ensuring smooth day-to-day operations
Qualifications
Experience Required:
- 2+ years of experience as an administrative assistant, executive assistant, or similar role
- Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Experience supporting multiple stakeholders simultaneously
- Excellent written and verbal communication skills
- Strong organizational and time management skills
- Demonstrated ability to learn new systems and tools quickly
Experience Preferred:
- Experience supporting professionals in a fast-paced corporate environment
- Exposure to document management systems or workflow tools
- Experience with Smartsheet or similar project management platforms
- Experience working across multiple teams or departments
