Administrative Assistant (Contract)
Please note that this is a contract role providing services to Microsoft through external staffing partners of Allegis Global Solutions. If you are selected for this role, you will be employed by AGS and will not be an employee of Microsoft.
Summary
We are seeking a highly organized and proactive administrative professional to provide comprehensive support to a large, dynamic product design and experience team. This role is integral to the smooth day-to-day operations of a fast-paced, collaborative environment, requiring exceptional judgment, critical thinking, and the ability to manage competing priorities with minimal direction. The ideal candidate thrives in a constantly evolving workplace, demonstrates strong common sense and situational awareness, and brings a genuine commitment to customer service and team morale. This is an onsite-primary position based in Redmond, WA, requiring four days per week on campus.
Job Responsibilities:
- Manage complex executive and senior-level calendars, including conflict resolution, prioritization, and accounting for travel time between buildings and campuses
- Coordinate with multiple administrators across teams to schedule meetings and align availability efficiently
- Provide comprehensive administrative support to a team of 50 or more employees, handling a wide range of operational requests
- Plan, coordinate, and execute team events, morale programs, and large-scale meetings including full catering and room setup to a professional standard
- Support onboarding activities for new team members, ensuring a smooth and welcoming experience
- Coordinate and process business expense reports and procurement of goods, services, office supplies, and computer equipment
- Manage vendor relationships and support facility operations as needed
- Maintain organized team files, administrative records, and documentation with strong attention to detail
- Serve as a primary point of contact for team inquiries, including hardware requests, general questions, and operational needs
- Arrange and manage travel logistics for team members and leaders
- Support conference room technology setup, hardware and workstation coordination, and basic operational troubleshooting
- Complete special projects and ad hoc assignments as directed by team leadership
Requirements
- 2 to 3 years of administrative support experience in a professional environment
- Demonstrated experience managing complex calendars at the executive or senior leadership level
- Proven track record supporting large teams of 50 or more employees
- Hands-on experience coordinating team events, morale initiatives, and large-scale meetings
- Experience managing expense reporting, procurement, and vendor coordination
- Background supporting onboarding activities and team operational workflows
- Experience coordinating with multiple administrative professionals to align schedules and logistics
- Demonstrated proficiency with productivity and scheduling platforms in a professional setting
- Expert-level complex calendar management including conflict resolution and multi-admin coordination
- Strong organizational skills with exceptional attention to detail and situational awareness
- Demonstrated ability to multitask and manage competing priorities in a fast-paced environment
- Critical thinking and sound independent judgment with minimal supervision required
- Professional event planning and execution, including full catering and room setup coordination
- Proficiency with Microsoft Outlook and calendar tools
- Experience with expense management systems and procurement processes
- Ability to learn and navigate workplace technology, conference room systems, and hardware setup
- Strong written and verbal communication skills for cross-functional collaboration
- Customer service orientation with a growth mindset and adaptability to change
- Database and file management with accurate record-keeping practices
Additional Details:
- Location: Redmond, WA (Hybrid: 4 days/week)
- Duration: 9 months
- Pay Range*: $23.50 - $26.50 per hour
- Weekly Schedule: 40 hours
- Job Status: Non-Exempt
