Business Title: Community Engagement Program Support Specialist
Position Title: Business Support II

FLSA: Non-exempt
Hours Worked: Typically, Monday through Friday, forty hours per week
Hybrid, on-site 3 days a week, but must be flexible to meet the needs of the department and responsibilities as assigned.
Position Summary:
The Community Engagement Program Support Specialist plays a critical operational role in the execution of community engagement activities. Our client is committed to strengthening local communities by fostering volunteerism, deepening civic partnerships, and collaborating on initiatives that make life better for people. Social Impact Strategy, Community Engagement and will work closely with the Community Engagement – Site Lead, Volunteerism Lead, and Giving Lead as well as additional internal and external stakeholders. This contractor will provide hands-on program operations and administrative support enabling the rapid implementation of programs for communities and stakeholders who we serve.
Duties and Responsibilities:

- Donation, Sponsorship, and Payment Processing
- Coordinate and process payments to ensure timely execution of Social Impact initiatives
- Review and approve matching gifts requests
- Oversee giving platform administration management including review of organization nominations and communications regarding nomination requests

Oversee incoming requests for donations and the intake process

Data Gathering and Reporting
- Setup, gather data, and maintain the community engagement database
- Coordinate reporting and data verification for various Social Impact reports, including surveys, annual report etc.

Oversee community engagement metrics, tracking, and reporting (data collection, KPI monitoring, dashboards, and status reporting)

Program and Compliance Support
- Provide program support for contracts, donation agreements, and MOUs, including coordination, tracking, follow-up and documentation management

Maintain documentation for community engagement initiatives to ensure adherence to internal and external requirements

Communications and Storytelling
- Oversee and update Social Impact internal and external websites
- Coordinate and help deliver internal and external communications to highlight impact stories and successes

Develop and maintain templates, documentation, presentations and other content used in internal and external communications

Operational and Administrative Support
- Support administrative tasks including meeting scheduling, agenda preparation, and logistics coordination.
- Manage community engagement email inbox and track inbound requests
- Support budget tracking, forecasting, and process improvement for payment and document workflows
- Coordinate sponsorship events and other events including attendee coordination, communication and deliver information to sponsoring organization, track participation in local database

Leverage AI tools in daily tasks to improve efficiency, including building agents and optimizing workflows

Responsible for, demonstrates and holds team accountable for safe work environment. Complies with all safety and confidentiality policies and protocols. Reports safety incidents or near misses in real time to the Manager

Report team feedback to the N+1 on a daily/weekly or monthly basis on milestones, goals, progress.

Provide regular updates to manager regarding workload, new/updated tasks, and associate performance

Follow the guidelines set forth with clients and Company Quality, Health, Safety, Security and Environmental policies and procedures.

Comply with clients’ and Company management systems in accordance with appropriate regulatory agencies.

Perform other essential tasks projects and responsibilities as required.

Education and Experience:
- Bachelor’s Degree
- Minimum of 2 year(s) of project management experience: project coordination, business operations, finance, procurement, etc.
- Prior experience working in the philanthropic, nonprofit, corporate social impact, or community engagement space.
- Familiarity with community partnerships, civic organizations, or place-based initiatives.
- Experience supporting programs across multiple sites/locations or within a matrixed organization.
An equivalent combination of education and experience may be accepted in lieu of above.
