Position Summary
The Events Coordinator is responsible for planning, coordinating, and executing campus events that support the mission of Maharishi International University. This role ensures that events—ranging from academic programs and visiting scholars to community gatherings and institutional functions—are delivered with a high level of organization, professionalism, and alignment with MIU’s consciousness-based approach.
The Events Coordinator serves as the central point of coordination across departments, ensuring seamless logistics, clear communication, and effective use of campus facilities and resources.
Key Responsibilities
Event Planning & Execution
- Plan and manage all aspects of campus events from concept through completion
- Coordinate logistics including venue setup, A/V, catering, lodging, transportation, and staffing
- Develop detailed event timelines, run-of-show documents, and post-event evaluations
- Ensure events reflect MIU’s standards and consciousness-based values
Campus Coordination
- Serve as the primary liaison between internal departments (Facilities, Housing, Dining, IT, Academic Programs)
- Coordinate scheduling and use of campus spaces including Dalby Hall, library spaces, and other venues
- Manage competing priorities and resolve scheduling conflicts
Vendor & Contract Management
- Coordinate with external vendors for catering, rentals, A/V, and other services
- Assist in developing and managing event-related contracts
- Ensure vendors meet university standards and timelines
Budget & Financial Oversight
- Develop and track event budgets
- Ensure cost-effective use of resources while maintaining quality
- Process invoices and coordinate with finance for timely payments
Communications & Promotion
- Coordinate event communications with Marketing and Communications
- Support development of promotional materials and campus-wide announcements
- Ensure clear communication with event stakeholders and participants
On-Site Event Management
- Oversee event setup, execution, and breakdown
- Troubleshoot issues in real time
- Serve as the point of contact during events to ensure smooth operations
Post-Event Assessment
- Gather feedback from stakeholders
- Track attendance and outcomes
- Recommend improvements for future events
Qualifications
Required
- Bachelor’s degree in Event Management, Hospitality, Communications, or related field (or equivalent experience)
- 2–4 years of experience coordinating events or similar operational roles
- Strong organizational and project management skills
- Ability to manage multiple events and priorities simultaneously
- Excellent communication and interpersonal skills
